Description

We are looking for a proactive and detail-oriented Technical Coordinator to provide crucial technical coordination support to our Building Regulations Principal Designer team within the Development Consultancy at PRP. This pivotal role ensures smooth day-to-day operations by managing project portolios for clients, supporting the delivery of projects, liaising with clientes/contractors and consultants, preparing fee proposals, raising invioces, coordinating meetings, and providing comprehensive administrative assistance to project managers.

Key Responsibilities

  • Draft, proofread and manage professional correspondence, ensuring timely follow-up
  • Receive project enquiries and prepare fee proposals
  • Manage portfolios of project
  • Support our team to deliver projects
  • Arrange and attend project meetings
  • Draft and distribute meeting agendas, minutes, and supporting documentation under guidance from BRPD team
  • Support the drafting and proofreading of correspondence, reports, and presentations.
  • Efficiently manage incoming and outgoing communications.
  • Maintain digital filing and project-related documentation.
  • Assist in managing project setup and programming using PRP’s internal management software (comprehensive training will be provided).
  • Perform technical administration tasks, which may include assisting with documentation, appointment administration support, inputting data  and maintaining project tracking spreadsheets.
  • Support Project Managers in the preparation of contract documentation.
  • Manage document control and receipt of information.
  • Assist with preparing and formatting documents, reports, and presentations to a high standard.
  • Maintain accurate records and filing systems (digital and physical).
  • Liaise with internal departments and external stakeholders as needed
  • Undertake additional ad hoc tasks as needed to support team objectives

Skills & Experience

  • Demonstrable experience in administrative or coordination roles, ideally within a professional services, construction, property, or consultancy environment. 
  • Ideally familiarity with construction projects and contract processes is beneficial, but not essential.
  • Strong organisational and time management skills, with a proven ability to prioritise effectively.
  • A high degree of discretion and professionalism when handling confidential information.
  • Adaptability, a proactive approach to problem-solving, and effective communication skills.
  • Self-motivated and able to work both independently and as part of a collaborative team.
  • Strong written and verbal communication skills, with a meticulous attention to detail, grammar, and punctuation.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • A-Levels or an equivalent qualification; a relevant qualification in business administration or office/project management is a plus as is a construction industry design qualification, though demonstrable experience is also valuable.
