About the Role

The successful candidate will report to the Head of Department and will join a highly professional and motivated team.

The prime role of the receptionist is to be the face of the firm and to have the confidence and professionalism to deal with the general public both on the phone and in person. 

You must be approachable and have a helpful attitude that stands out to our clients and visitors.  You will assist effectively and professionally all employees of Paul Crowley & Co, and those who chose us as their Solicitor.

 

Person Specification & Requirements

  • Minimum of 3 years’ experience in a receptionist or front‑of‑house role within a professional services environment (legal, financial, medical, corporate, or similar)
  • Confident and professional telephone manner with excellent verbal communication skills
  • Strong written communication skills and attention to detail
  • Calm and organised approach, with the ability to manage competing priorities in a busy environment
  • Highly personable, approachable, and client‑focused
  • Professional appearance and manner at all times
  • Proactive, flexible, and solutions‑focused with a “can‑do” attitude
  • Strong IT skills, including Microsoft 365 (experience with case management systems such as Proclaim is desirable but not essential)
  • Ability to handle sensitive and confidential information with discretion
  • Experience training or supporting colleagues on reception procedures is advantageous
  • Strong organisational skills and ability to work both independently and as part of a team

Key Responsibilities

  •  Actively work towards individual and departmental targets and objectives as set by HOD.
  • Answering and screening of all incoming calls effectively, professionally and without delay.
  • The management and distribution of all voicemails received via reception.
  • The provision of telephone support to the directors and other staff members as and when required in fast paced environment.
  • Greeting, welcoming, directing and announcing visitors appropriately in a helpful, friendly, and professional manner, in line with the firm’s standards for client care.
  • Proficient in their knowledge and use of Microsoft 365 and Proclaim case management system.
  • The taking and distributing of full and detailed messages via email and were applicable these are to be logged via the case management system.
  • Management of reception area’s diary system for booking out interview rooms.
  • Ensure the reception area is always tidy and presentable and ensure the firm’s publicity material is available to clients and kept in a presentable condition.
  • A high degree of responsibility to always project the image and ethos of the firm.
  • Undertake other clerical and administrative duties as may reasonably be required from time to time.
  • The administration of fax messages via email.
  • The physical handling of incoming post or documents which are left at reception and their subsequent allocation to the fee earner concerned.
  • Co-ordinate and update firms internal hand delivery spreadsheet.
  • Provide guidance to employees when required to do so, including training others on reception procedures.
  • Undertake specific training when required to successfully carry out role and have overall responsibility towards self-development.
  • Be actively involved in ensuring compliance in Lexcel and other standards.
  • Ensure any documentation received is checked and complies with our AML policy and the UK Anti Money Laundering regulations.
  • Ensure the confidentiality of all the firm’s and client’s documentation and information by complying with GDPR.
  • Be actively involved in marketing and business development activities and networking.
  • Undertake any other duties as required by the Directors as necessary for other fee earners and members of staff.
