Main Purpose And Scope Of Job:

To provide day-to-day IT operational support across the organisation, ensuring smooth running of IT services, effective supplier coordination, and excellent end-user support. This role acts as the first point of contact for IT queries and works closely with our managed service provider to deliver a responsive and secure IT environment.

Duties and Key Responsibilities

Supplier and Contract Coordination:

  • Serve as the primary liaison with Planet IT, monitoring service levels and escalating issues as appropriate
  • Process IT equipment orders through Amazon Business and approved suppliers
  • Maintain accurate records of IT assets, warranties, and support contracts
  • Assist with supplier reviews and contribute to contract renewal discussions

SaaS and License Management:

  • Maintain the organisation’s software licence inventory and ensure compliance
  • Process licence allocation requests for new starters and role changes
  • Monitor subscription renewals and flag upcoming expiries
  • Support cost optimisation by identifying unused or underutilised licences

Service Desk and User Support:

  • Triage and respond to first-line IT support tickets, escalating to Planet IT where necessary
  • Set up user accounts, permissions, and equipment for new starters
  • Assist with basic troubleshooting of hardware, software, and connectivity issues
  • Maintain IT documentation, FAQs, and self-help resources

Security Operations Support:

  • Monitor and respond to security alerts from Microsoft Defender and other security tools
  • Escalate potential security incidents following established procedures
  • Assist with user access reviews and offboarding processes
  • Support compliance activities including maintaining audit evidence
  • Responsible for ensuring the correct security permissions and group settings in Microsoft 365, including SharePoint governance.

Training and User Enablement:

  • Deliver basic IT induction training to new staff
  • Create and maintain user guides for common systems and processes
  • Provide informal coaching to staff on Microsoft 365 tools and IT best practices
  • Gather user feedback to identify training needs and service improvements

Person Specification

Qualifications:

GCSE Maths and English (Grade C/4 or above) or equivalent. IT-related qualification such as CompTIA A+, Microsoft Fundamentals certification, BTEC in IT, or relevant degree/apprenticeship.

Skills & Abilities:

  • Clear written and verbal communication skills, with the ability to explain technical concepts to non-technical users
  • Strong organisational skills with attention to detail
  • Ability to prioritise workload and manage multiple tasks
  • Confident using Microsoft 365 applications (Outlook, Teams, SharePoint, Excel)
  • Basic understanding of IT service management principles

Experience:

    Essential:

  • Some practical IT experience (work placement, apprenticeship, personal projects, or previous employment)
  • Experience providing customer service or user support
  • Desirable:

  • Experience working in a corporate IT environment
  • Familiarity with IT ticketing systems
  • Experience with Microsoft 365 administration

Knowledge:

  • Understanding of common IT hardware (laptops, printers, mobile devices)
  • Basic awareness of cyber security principles and threats
  • Familiarity with cloud-based services and SaaS applications
  • Awareness of data protection principles (GDPR)
