Tenancy Manager

This is an exciting opportunity to join My Property Box, one of the North East’s leading estate agencies a Tenancy Manager in the Darlington property management office.

My Property Box specialise in lettings and property management, and it has been continually growing since launch, covering the whole of the North East.

Join the fast-moving tenancy management department, where you’ll work alongside other Tenancy Managers, Inventory Clerks and Account Managers reporting directly to the Head of Tenancy Management

As a Tenancy Manager you’ll be responsible for the smooth running of tenancies, answering both landlord and tenant enquiries during tenancies. Also liaising with the lettings team to ensure smooth handovers between tenancies.

We are looking for an enthusiastic, conscientious and professional team player who is passionate about delivering exceptional customer service and keeping clients’ expectations managed. The applicant will also need a strong team ethic and have a positive outlook.

As a Tenancy Manager you will:

  • Chase rent arrears, liaise with Housing Benefit / Universal Credit where necessary, applying for Universal Credit direct payments.
  • Answer landlord and tenant account queries forging strong relationships in the process.
  • Process notices to vacate, received from tenants.
  • Deal with day to day tenancy management (arranging surveyors, additional pet requests, providing statements and other changes to the APT etc.)
  • Create and serve Section 8s when required.
  • Keep landlords and tenants updated with progress at regular intervals and accurately record all details on internal CRM system. Deal promptly and courteously with emails and phone calls from landlords and tenants.
  • Support and assist both Head of Tenancy Management and Head of Accounts.
  • Liaise with council tax and utility companies when necessary.
  • Provide references for tenants which have recently vacated a property.
  • Liaise with lettings / applications team to ensure smooth move in process for tenants.
  • Operate an effective diary, ensuring all landlord and tenant enquires are booked in and time expectations are managed.
  • Handle any complaints within the required time frames associated with My Property Box’s complaints procedures.
  • Undertake general administration, including typing, filing, postage, ordering, answering calls, taking messages.
  • Ensure that the office is GDPR compliant and no files or other materials are visible to the public
  • Assist with maintenance requirements, organising contractors and quotes.
  • Organise CP12 / EICRs and EPCs and upsell to landlords.
  • Carrying out Inventories, Inspections and Check Outs when needed.
  • Display a high degree of common sense and attention to detail.
  • Be prepared to conduct accompanied viewings if required.
  • Have a full clean driving licence.
  • Keeping up to date with new legislation
  • Ensure paperwork is processed correctly (including landlord agreements and tenancy documentation including right to rent, smoke alarm documents and guarantor forms) when helping with applications.
  • Be responsible for managing keys for agency

Previous experience is desirable however not required.
