The Role

We’re looking for someone who will create an immediate impact within our company and across our client’s account, supporting brand activities, events and trackside hospitalitycoordination working on the Ford Racing sports car programme.

Reporting to the Hospitality Manager, the Account Executive will support the organisation and implementation of activities, events and track coordination throughout the year. The successful person will need to be willing to get stuck in with coordinating a variety of elements, and more importantly, be a team player both in the office and onsite. A willingness to travel is a must.

Ideal Candidate Profile

The ideal candidate will have at least 2 years’ experience in planning and delivering premium trackside hospitality, brand and race team activities and event coordination and guest programmes. They will be confident managing the end-to-end guest journey, from invitations and guest comms through to travel arrangements and seamless onsite execution for operational team members through to VIP guests.

Relationship building will be central to the role, requiring the ability to engage professionally and confidently with a broad range of stakeholders, from Ford Executives and internal teams to event partners and suppliers. Highly organised and solutions-oriented, they will remain calm under pressure and bring professionalism, resilience and accountability to every stage of programme delivery.

A genuine passion for premium automotive, motorsport or brand experiences, combined with a commitment to delivering exceptional and memorable guest experiences, will be essential for success in this role.

Key Responsibilities

Client Account Team Support

  • Provide day-to-day support to the Hospitality Manager and wider account team across the planning and delivery of in-scope and out-of-scope events and experiences
  • Prepare meeting agendas, notes and action lists, ensuring actions are tracked through to completion
  • Maintain accurate and up-to-date WIP, task tracking documents and relevant agency platforms
  • Manage hospitality inventory, ensuring stock is accurately tracked and available when required
  • Produce project and event documentation, including schedules, presentations, guest communications and supporting materials, as directed by the Hospitality Manager

Stakeholder & Partner Management

  • Support the account team in building and maintaining strong relationships with clients, drivers, partners and other key stakeholders
  • Coordinate closely with internal programme and event teams, suppliers and external partners to ensure timely and seamless programme delivery
  • Manage assigned stakeholder requests and actions efficiently, providing clear and timely communication throughout

Programme Operations & Delivery

  • Support the planning, operational delivery and on-site execution of trackside activities, hospitality programmes and guest experiences
  • Coordinate ticketing, accreditation, passes and access requirements in collaboration with the event team
  • Support all aspects of logistics, including production, venue coordination, hospitality, merchandise fulfilment, garage touring and guest management
  • Research and coordinate travel, accommodation, restaurants, experiences and wider logistics for guests and event teams
  • Assist with Ford Racing race driver travel arrangements
  • Liaise with and supervise third-party suppliers to ensure operational requirements and agency standards are met
  • Provide hands-on onsite support, including guest hosting, ticket allocation, gifting, room drops and other event requirements
  • Assist Ford Racing on-site with movements and dignitary roles
  • Ensure all activities are delivered in line with agency standard operating procedures and to the expected quality of experience

Compliance, Safety & Risk Management

  • Support the preparation of risk assessments for agency-led programmes where required
  • Coordinate with suppliers to obtain appropriate copies of liability insurance and supporting compliance documentation
  • Work with venues, instructors and operational partners to ensure relevant safety procedures and regulatory requirements are met as instructed
  • Maintain accurate documentation and processes in line with audit, procurement and agency requirements

Guest Experience & Hospitality

  • Support the end-to-end guest journey, from invitation and registration through to event participation and post-event engagement
  • Develop personalised itineraries, welcome materials, gifting and hospitality elements that enhance the overall guest experience
  • Support the creation of operational handbooks, training materials and service standards for event delivery teams where required
  • Help ensure every guest touchpoint reflects the expected standard of a premium brand experience

Budget & Financial Management

  • Support the Hospitality Manager in ensuring programme activity is delivered within approved budgets and in accordance with finance and procurement policies
  • Maintain accurate event cost trackers, raise purchase orders and support the management of supplier invoices and payment requirements
  • Identify opportunities to improve efficiencies and optimise costs without compromising the quality of the guest experience

Reporting & Continuous Improvement

  • Support the development of post-event reports, collating feedback from internal teams, external stakeholders, partners and guest
  • Analyse guest feedback and operational learnings to identify trends, opportunities for improvement and actionable recommendations
  • Maintain a record of key learnings and recommendations to support continuous improvement across future programmes

Skills, Knowledge & Experience (Essential)

Experience

  • 2+ years’ experience in motorsport events, experiential marketing, sports marketing, sponsorship or integrated agency environments
  • Proven experience in trackside operations
  • Experience working with senior stakeholders, athletes, suppliers and rights holders
  • Demonstrated track record of supporting the coordination of event programmes from concept through delivery

Skills

  • Highly organised, with the ability to manage multiple workstreams, deadlines and complex logistics while maintaining exceptional attention to detail
  • Confident building strong relationships and communicating effectively with senior clients, executives, partners, suppliers and internal teams
  • A strong understanding of the end-to-end guest journey, with a commitment to delivering seamless, premium and memorable experiences
  • Calm, proactive and solutions-focused under pressure, with the resilience and flexibility required in fast-paced live event environments
  • Comfortable supporting budgets, cost tracking and procurement processes, with strong Microsoft Office and project management skills

Cultural & Sector Fit

  • Experience in motorsport, automotive or premium experiential environments
  • Comfortable operating in fast-paced environments, with travel and non-traditional working event schedules
  • High levels of accountability, professionalism and personal ownership
