The Role

We’re looking for a Lead Contracts Administrator to join our team in Elland. This is an excellent opportunity for an experienced administrator who enjoys supporting operational teams, taking ownership of processes, and mentoring colleagues while helping deliver outstanding service to our customers.

What You’ll Be Doing

As our Lead Contracts Administrator, you’ll play a key role in ensuring the smooth delivery of contracts from set-up through to completion. You’ll work closely with operational teams, customers, suppliers and subcontractors, while supporting the Contract Support Manager and acting as the team’s go-to person in their absence.

Key responsibilities include:

  • Managing site and office purchasing, purchase invoice matching and approvals.
  • Scheduling site deliveries and monitoring stock levels.
  • Arranging hotel and accommodation bookings.
  • Processing new customer information and completing minor PQQs.
  • Raising customer invoices.
  • Maintaining supplier and subcontractor compliance records.
  • Managing equipment records.
  • Administering Customer Satisfaction (NPS) and Complaints registers.
  • Setting up and allocating jobs.
  • Maintaining accurate job files and project records.
  • Preparing handover documentation and certification packs.
  • Completing credit card reconciliations.
  • Supporting operational teams with day-to-day contract administration.
  • Handling incoming calls and customer enquiries.
  • Working collaboratively with the administration and operational teams to ensure projects are delivered efficiently.
  • Acting as the main point of contact during the Contract Support Manager’s absence.
  • Assisting with onboarding, training and mentoring team members.
  • Supporting the Contract Support Manager during busy periods and operational pinch points.
  • Producing reports, management information and attending meetings as required.

What We’re Looking For

  • Previous experience in a contract support, administration or customer service role.
  • Experience liaising with customers and clients.
  • NVQ Level 2 (or equivalent) in Business Administration (preferred).
  • GCSEs (or equivalent) including Maths and English.
  • ASFP Level 1
  • Strong Microsoft Office skills
  • Excellent organisational and time management skills
  • Ability to manage multiple priorities and take ownership of tasks.
  • Strong communication and interpersonal skills.
  • A collaborative approach with the confidence to support, coach and mentor colleagues.
  • Flexibility, initiative and a willingness to support the wider team when needed.
