We are currently recruiting for a Voids Coordinator to join our team in Kingston Upon Thames.

Role Overview:

The Voids Coordinator is responsible for coordinating the turnaround of vacant (void) properties, ensuring they are repaired, compliant, and ready for new tenants within agreed timescales and budgets. The role involves liaising with contractors, housing officers, surveyors, and residents to deliver an efficient voids service that minimises rental loss and supports excellent customer service.

Responsibilities:

  • Coordinate all activities relating to vacant properties from tenancy termination to re-let.
  • Monitor the progress of void repairs to ensure completion within agreed Key Performance Indicators (KPIs).
  • Allocate works to contractors and monitor performance against service level agreements.
  • Schedule inspections, surveys, and repair works.
  • Ensure properties meet lettable standards before handover.
  • Act as the main point of contact for contractors, surveyors, housing officers, and internal teams.
  • Track contractor performance, ensuring quality, compliance, and value for money.
  • Resolve delays and escalate issues where necessary.
  • Arrange access to properties and ensure works are completed efficiently.
  • Maintain accurate records on housing management and repairs systems.
  • Update progress notes, repair orders, and completion dates.
  • Produce reports on void performance, turnaround times, expenditure, and contractor performance.
  • Ensure documentation is complete and compliant with organisational procedures.
  • Monitor void repair costs against budgets.
  • Raise purchase orders and process invoices where required.
  • Identify opportunities to reduce costs while maintaining quality standards.
  • Assist in forecasting expenditure and monitoring financial performance.
  • Communicate effectively with housing officers and prospective tenants regarding property availability.
  • Respond professionally to enquiries and complaints.
  • Support the delivery of excellent customer service throughout the void process.

You Will Need:

  • Experience in social housing, property maintenance, repairs, or voids management.
  • Experience coordinating multiple workstreams simultaneously.
  • Experience working with contractors and external suppliers.
  • Experience using housing management or repairs management systems.
  • Understanding of social housing repairs and maintenance processes.
  • Knowledge of void property procedures.
  • Understanding of health and safety legislation.
  • Awareness of compliance requirements relating to residential properties.
  • Knowledge of KPI monitoring and performance reporting.
