Description

Job Purpose:            

To perform essential operational and organisational tasks that will allow the company to continue to operate efficiently and successfully.

Responsibilities:      

  • Act as a point of contact for customers, clients and suppliers via email, over the phone or in person
  • Provide prices for delivered and collect works within agreed guidelines
  • Follow up quotations and negotiate prices where required
  • Use of weighbridge software to log new collection and delivery orders
  • Receiving and logging of complaints in a timely manner
  • Organising filing systems and updating office databases
  • Maintain a clean and organised office environment
  • Processing invoices and tracking of receipts
  • Provide administrative support to site management and commercial department as required
  • Plan, organise, and schedule site meetings
  • Order and oversee office supplies
  • Respond to questions and requests for information from customers and clients

 

Accountability:         

  • Ensure invoices are issued to customers in a timely manner without error
  • All orders are input correctly and processed on time

 

Tasks to be completed:  

  • Submission of customer invoices
  • Inputting collection and delivery orders
  • Answering phones and taking orders
  • Running of reports
  • Administrative duties as requested

External relationships and communication:

  • Visitors to company premises
  • All customers
  • Hauliers
  • Contractors
  • Members of the public

 

Internal relationships and communications  

  • Area Sales Manager for all invoices and customer needs
  • Depot Supervisor and Manager for relevant site matters
  • Quality Manager for Technical/Quality matters
  • Weighbridge operator for orders and all other related communications

 

Key measures and targets:   

  • On time and up to date invoicing and receipt of payments
  • Building and sustaining strong customer relationships

 

Knowledge and Experience:

  • Sales skills
  • Word processing, spreadsheets and e-mail
  • Customer client focused environment
  • Answering external and internal phone calls
  • Invoicing
  • Attention to detail
  • Interpersonal skills

Education and Training Essential:

  • Maths and English GCSE grade A-C or equivalent 

Education and Training Desirable:

  • Previous sales experience
  • Previous experience in a similar role
  • Administration qualification
