About the Role
Accurate Indigenous Managers & Advisors (AIMA) is seeking a Temporary HR Administrator to provide recruitment, Employment Hero and administrative support to our Human Resources team.
This position will provide immediate support with recruitment for AIMA, affiliated businesses and new or emerging projects, as well as candidate coordination, Employment Hero updates, employee files, onboarding, scheduling and day-to-day HR administration.
The role will also assist with our developing HR intake process by helping track inquiries, organize documentation, maintain follow-up records and ensure requests are directed to the appropriate HR team member.
Main Duties
- Support recruitment across AIMA, affiliated businesses and new projects, including posting approved vacancies, reviewing applications and coordinating candidate communications.
- Conduct initial candidate prescreens and schedule interviews, meetings and trial shifts where applicable.
- Maintain recruitment stages, candidate notes and employee information in Employment Hero.
- Assist with onboarding documentation, employee files, forms, checklists and missing-document follow-up.
- Monitor and organize routine HR inquiries, inboxes and administrative requests.
- Support the developing HR intake process by logging requests, organizing documentation and tracking follow-up actions.
- Maintain probation and performance-review reminders and assist with scheduling and standard documentation.
- Prepare routine HR communications, recruitment updates and administrative reports.
- Maintain accurate and confidential electronic and physical HR records.
- Assist with HR administration for new business initiatives and projects as assigned.
- Provide general administrative support to the HR Manager and HR Generalist as required.
Qualifications
- Previous experience in HR administration, recruitment, office administration or a similar support role.
- Experience with an HRIS, ATS or recruitment system; Employment Hero experience is an asset.
- Strong organizational skills and the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Comfortable communicating with applicants, employees and managers.
- Strong attention to detail and data-entry accuracy.
- Experience with Microsoft Office and/or Google Workspace.
- Ability to handle confidential employee and applicant information appropriately.
- Post-secondary education in Human Resources, Business Administration, Office Administration or a related field is an asset but not required.
- Experience supporting multiple businesses, projects or a fast-paced work environment is considered an asset.
