  • Review deductions: Double check pension contributions, student loan repayments and court orders.
  • Double check National Insurance category: Things like age, or status, like being an apprentice or someone’s location can change, so it’s always best to double check NI categories.

Timekeeping and overtime

Ensure you are paying for exact hours worked and not just a guess.

  • Audit the data: Compare the timesheets against approved leave and sickness records.
  • Overtime rules: Ensure overtime is calculated correctly according to specific employment contracts.

Tax compliance

This is the big one. HMRC doesn’t accept “we were too busy” as an excuse.

  • RTI submissions: Verify that your Real Time Information (RTI) submissions match your internal payroll reports.
  • Tax codes: Ensure you are applying strictly effective tax code updates from HMRC.

  • Statutory pay: Check calculations for Statutory Sick Pay (SSP), Maternity Pay (SMP), Statutory Paternity Pay (SPP), Statutory Shared Parental Pay (ShPP), Statutory Parental Bereavement Pay (SPBP), Statutory Neonatal Care Pay (SNCP) and Statutory Redundancy Pay.
  • Holiday pay: Ensure holiday pay calculations include regular overtime or commission where legally required.
