As the Clinic Support Coordinator, you will be the operational backbone of our six clinics. This is a fast-paced role designed for a master organiser who excels at logistics and communication. You will be responsible for ensuring our clinics are fully staffed, our facilities are maintained, and our patients receive seamless service across all digital and voice channels.
🌱 The Role
Workforce & Schedule Management
✨ Master Scheduling: Design and manage complex weekly rotas for clinical and administrative teams across multiple locations to ensure optimal staffing levels.
✨ Payroll & Compliance: Reconcile staff timesheets against schedules to guarantee high levels of payroll accuracy.
✨ Absence Management: Act as the lead contact for sickness and emergencies, proactively sourcing cover and adjusting schedules in real-time.
Patient Experience & Clinic Efficiency
✨ Operations Oversight: Monitor the appointment dashboard to maximise clinic utilisation and eliminate scheduling gaps.
✨ Dynamic Rescheduling: In the event of staff absence or clinic changes, lead the effort to minimise patient disruption with the relocation of clinical team members where appropriate and rearrange patient appointments quickly and professionally.
✨ Multichannel Support: Resolve patient queries and concerns via telephone, live chatbot, and email, (including feedback and hello emails) providing a gold-standard service experience.
✨ Escalation Handling: Serve as the first point of contact for complaints, drafting professional responses and coordinating effective solutions.
✨ Clinical Auditing: Conduct safety and operational audits across owned and franchise estates to identify risks and performance trends.
Facilities & Maintenance
✨ Facility Coordination: Serve as the central hub for all clinic-related maintenance issues, including equipment failures and utility repairs.
Requirements:

Customer Service: Experience working in a customer facing environment

Tech Savvy: Comfortable navigating appointment dashboards, CRM systems, and AI-driven chatbots

Crisis Management: The ability to remain calm when a staff member calls in sick at 8:00 AM and you need to reschedule 20 appointments

Excellent Communicator: Strong written skills for handling complaint emails and a professional, empathetic phone manner
Nice to Have:

Scheduling Pro: Proven experience managing complex rotas or staff schedules (experience with healthcare platforms is a plus)

Clinical Operations Knowledge Experience in conducting clinical audits or identifying operational risks and trends to ensure the safety of practice and clients.

Previous experience of working in IV and or longevity clinics.

Operational Experience in a healthcare setting. Knowledge of healthcare and scheduling platforms.

Facilities/Vendor Management Experience Familiarity with coordinating external contractors and maintenance teams to handle facility issues (e.g., equipment, plumbing, electrical) across multiple locations would be a significant asset.
