    Job Description: Sales Team Administrator. 

     

    Reporting to: Head of Commercial 

    Key internal stakeholders: CEO, Managing Director, Director of Bids, Head of Bids, Sales Team. 

    Details of Role: 6-Month Fixed Term Contract – 22.5 hours per week (Monday to Friday 10am till 2.30pm) 

    Location of Role: On-site – Bolton Town Centre

    Overview of the role: 

    A proactive and organised Sales Team Administrator responsible for supporting the day-to-day running of the sales function, ensuring leads are progressed efficiently, opportunities are tracked, and the team has what they need to convert work. 

    This role combines administrative coordination + light outbound activity, acting as the engine room behind the sales team while also supporting appointment generation. As we are a consultancy focused on winning work for our customers, a small part of the role may encompass support for our customers’ business development processes.  

     

    Key Responsibilities: 

    1. Sales administration and CRM management: Maintain accurate CRM records for leads, opportunities, contacts and client information. 
    2. Pipeline tracking: Monitor live opportunities, update status and ensure clear visibility across the sales pipeline. 
    3. Data accuracy and record keeping: Keep sales records, documents and communications well organised, complete and up to date. 
    4. Enquiry handling: Record, assign and coordinate follow-up for inbound enquiries in a timely and structured way. 
    5. Quoting: Review tender documents and use our quoting formula to prepare quotations for review by wider sales team, and support preparation for T&L proposals and presentations. You will also organise and maintain sales documentation/materials to support these processes  
    6. Meeting coordination: Book meetings, support diary management and prepare or share relevant information in advance. 
    7. Pipeline reporting: Prepare regular pipeline updates and summaries to support internal visibility and commercial decisions. 
    8. Ongoing development opportunities within your role and across the wider business. 
    9. Sales team coordination: Track actions, chase outstanding tasks and help keep the wider sales team aligned. 
    10. Sales handover to delivery: Support a smooth handover of project and client requirements to our delivery team. You will support this through thorough documentation, briefing notes and meetings as necessary, helping to maintain customer communication through transition using prescribed templates.  
    11. Research and contact management: Support basic research (for T&L and their customers) and maintain accurate prospect and client data. 
    12. Process, quality and wider support: Follow agreed sales processes, maintain high standards of accuracy and provide flexible support where required.  
    13. Other duties: Undertake any other reasonable duties requested by your line manager that are consistent with the responsibilities of this role. 

     

    Essential Criteria: 

    • A minimum of one years’ experience in a sales administration, coordination, or commercial support role, or similar. 
    • Strong organisational and time management skills, with the ability to manage multiple tasks, track activity, and meet deadlines consistently. 
    • Excellent communication and interpersonal skills, with the ability to work effectively with internal stakeholders across sales, bids, and operations. 
    • A high level of accuracy and attention to detail across CRM data, reporting, documentation, and general administration. 
    • Practical experience of using CRM systems, with confidence in maintaining accurate and up-to-date pipeline and client records. 
    • A process-driven mindset, with the ability to follow structured ways of working and ensure consistency across the sales function. 
    • The ability to work collaboratively across multiple teams and contribute positively within a fast-paced, commercially focused environment. 
    • Confidence in coordinating activity, following up with team members, and ensuring actions are completed and recorded. 

     

    Desirable Experience 

    • Experience within a B2B, consultancy, professional services, or public sector/procurement environment. 
    • Knowledge of CRM systems, ideally Zoho CRM and associated platforms, with confidence in managing pipeline data and reporting. 
    • Experience supporting sales pipelines, opportunity tracking, and reporting processes. 
    • Experience coordinating meetings, agendas, and follow-up actions across teams. 
    • Understanding of sales processes, opportunity lifecycles, and the importance of accurate pipeline management. 
    • Experience supporting proposal, quote, or commercial documentation processes.
