Role Overview:
We are currently recruiting for a Contracts Planner to support the delivery of planned and reactive maintenance across a portfolio of non-domestic and commercial properties. The role focuses on efficient scheduling, contractor and operative coordination, and ensuring maintenance works are delivered safely, efficiently, and to a high standard.
Responsibilities:
- Plan, schedule, and allocate planned and reactive maintenance works in line with contract requirements, service standards, and performance KPIs.
- Coordinate contractors, subcontractors, and operatives, ensuring labour, materials, equipment, and site access are arranged to support the timely completion of works.
- Monitor job progress and compliance with agreed SLAs, escalating delays, access issues, or performance concerns where necessary.
- Liaise with clients, site teams, property managers, tenants, and other stakeholders to arrange access, provide updates, and manage queries professionally.
- Maintain accurate records of work orders, schedules, contractor activity, site attendance, job progress, and communications.
- Support contract performance reporting through data monitoring, KPI tracking, and identification of service and operational improvements.
- Coordinate reactive and emergency maintenance requests, ensuring appropriate resources are deployed promptly and safely.
- Ensure works are scheduled with consideration for building operations, site restrictions, access requirements, and the needs of commercial/non-domestic environments.
- Work closely with contract managers, surveyors, engineers, and operational teams to ensure works are delivered efficiently and in accordance with contractual requirements.
- Assist with monitoring contractor performance, productivity, completion times, and quality of service.
You will need:
- Experience in planning, scheduling, coordination, or contract administration, ideally within facilities management, commercial property, construction, or non-domestic maintenance.
- A good understanding of planned and reactive maintenance processes, contractor management, and service delivery within commercial or non-domestic environments.
- Excellent organisational skills, with the ability to manage a high-volume workload and adapt to changing priorities.
- Strong communication and stakeholder management skills, with the confidence to liaise with clients, contractors, operatives, and site representatives.
- Proficient in IT systems, including Microsoft Office and job management, CAFM, or scheduling software.
- Ability to interpret and work with performance data, KPIs, SLAs, and operational reports.
- Strong problem-solving skills, with the ability to remain calm and effective in a fast-paced and reactive environment.
- Good attention to detail and the ability to ensure works are scheduled accurately and efficiently.
- Understanding of health and safety, statutory compliance, and the importance of safe working practices within non-domestic properties.
- Ability to prioritise emergency, urgent, and routine maintenance requirements according to contractual and operational needs.
