Description

Purpose:

To provide high-level, trusted executive and business support to the CEO, MD and Leadership team, enabling the effective running of the business, strong governance, and informed decision-making.

The role plays a key part in supporting board and senior leadership activity, ensuring high standards of organisation, reporting, decision-making and follow-through, while contributing positively to the overall effectiveness and performance of the business.

Key Responsibilities

Executive

· Provide proactive, professional and confidential executive support to the CEO and MD.

· Act as a trusted partner, anticipating priorities, managing competing demands and enabling leaders to focus on strategic and operational objectives.

· Support the effective day-to-day running of the business by coordinating key activity, tracking actions and ensuring deadlines and commitments are met.

· Manage diaries and logistics to optimise time, effectiveness and impact.

· Support both professional and, where appropriate, personal commitments of the CEO with discretion and sound judgement

Board Support

· Coordinate board & senior leadership meetings, including scheduling, agenda planning and circulation of high-quality papers.

· Take accurate, concise minutes, capturing decisions, actions and accountabilities, and monitor progress to completion.

· Maintain governance records, actions logs and key documentation, ensuring consistency, confidentiality and compliance with agreed processes.

· Support the preparation of board and reports, ensuring clarity, accuracy and alignment to business priorities.

· Act as a central point of coordination between board members and key stakeholders

Projects & Business Improvement

· Take the lead on defined projects as required, coordinating activity, tracking progress and supporting delivery against agreed objectives.

· Identify opportunities to improve processes, ways of working and administrative effectiveness across the executive function.

· Support sales, marketing and business development activity, including preparation of some tender documents.

· Ensure effective coordination of social activity, maintaining visibility of upcoming dates and campaigns and briefing colleagues, clients and stakeholders so they understand their role, timings and required inputs.

Communication & Stakeholder Management

· Build strong, professional relationships across the organisation and with external partners, clients and suppliers.

· Handle sensitive and confidential information with discretion, integrity and professionalism at all times.

Person Specification

Experience & Knowledge

· Proven experience as an Executive Assistant or Personal Assistant supporting senior leaders.

· Experience supporting board or senior leadership meetings, including minute-taking and action tracking.

· Strong understanding of confidentiality, governance and professional standards at executive level.

Skills & Attributes

· Exceptional organisational and prioritisation skills, with the ability to manage multiple demands effectively.

· Strong written and verbal communication skills, with confidence producing high-quality reports and presentations.

· Proactive, detail-focused and solutions-orientated, with the confidence to challenge and suggest improvements.

· Professional, approachable and confident in building relationships at all levels of the organisation.

· Resilient and flexible, with the ability to remain calm and effective under pressure.

· High level of integrity, discretion and sound judgement.

Technical Skills

· Proficient in Microsoft Office and digital collaboration tools.

· Experience using CRM systems; experience of Monday.com desirable.

· Demonstrates curiosity and a willingness to learn, proactively exploring new systems, processes and information to improve effectiveness.
