About Hopscotch
Hopscotch Children’s Therapy Centre is a specialist paediatric clinic in central London, delivering Sensory Integration, Occupational Therapy, and Speech and Language Therapy to children with neurodevelopmental differences including autism, ADHD, sensory processing disorder, and dyspraxia. We support children and familiesthrough EHCP-funded and private pathways, working closely with LocalAuthorities, schools, and multidisciplinary professionals. We are growingrapidly — expanding from 3.5 to 9 therapists by June 2025 — and developing an Alternative Education Provision at our adjacent premises due to open in September 2026
The Role
We are looking for a highly capable, discreet, and proactive Executive Assistant to support our CEO (Dimitrios Mylonadis) and COO (Ralph Mrad) as Hopscotch enters a significant phase of growth. This role exists to ensure both directors can operate at their highest level — focused on clinical excellence, strategic development, and organisational leadership — without being drawn into administrative and coordination tasks.
This role is distinct from our Client Experience Manager, who owns the operational running of the clinic and the management of the therapy team. The EA works above that layer, focused entirely on supporting the directors and enabling the organisation’s strategic priorities, including the development of our Alternative Education Provision due to open in September 2026. The successful candidate will be highly organised, professionally polished, and exceptionally discreet. They will be equally comfortable managing complex diaries, drafting a commissioner letter, preparing an investor briefing, and
calmly handling a last-minute change without any drop in quality. Minimum 3 years’ experience supporting C-suite or director-level leadership is required.
Reporting Structure
This role reports directly to the CEO and COO. The Client Relationship Manager reports into this role on client-facing communications and may be coordinated through the EA where director involvement is required.
Key Responsibilities
Executive Support to CEO & COO
- Manage and maintain the diaries of the CEO and COO with accuracy, foresight, and a clear sense of organisational priority
- Anticipate scheduling conflicts and resolve them proactively, including handling last-minute changes with composure
- Draft and manage high-quality correspondence on behalf of the directors, including communications to Local Authorities, commissioners, schools, investors, and families
- Prepare briefing notes, agendas, and supporting materials in advance of meetings; record and circulate minutes and action points
- Act as a trusted first point of contact on behalf of the directors, filtering and prioritising communications
- Handle all sensitive, confidential, and commercially significant information with complete discretion
Strategic Project Support
- Support the CEO and COO on the Alternative Education Provision development, including DfE registration workstreams, Local Authority engagement, and investor documentation
- Assist with commissioner correspondence, tender submissions, and business development administration
- Prepare reports, data summaries, and presentations for the CEO and COO as required
- Coordinate external stakeholder meetings, site visits, and events on behalf of the directors
- Support contract management, legal correspondence, and compliance submissions as directed
HR & Compliance Administration
- Lead HR administration for senior and clinical hires: offer letters, contract amendments, and employment documentation in coordination with the COO
- Maintain and audit personnel records, DBS registers, HCPC registration logs, and leave tracking systems
- Coordinate recruitment administration for leadership and clinical roles: scheduling interviews, managing candidate communications, and filing applications
- Manage probationary review scheduling and documentation as directed by the COO
- Support preparation for regulatory submissions and inspections including CQC, Ofsted, DfE, and Local Authority reviews
Financial Administration
- Process invoices, expenses, and purchase orders on behalf of the directors; liaise with the bookkeeper as required
- Support preparation of financial summaries, board materials, and investor documentation
- Assist with LA invoice queries, purchase order management, and commissioner financial correspondence
Person Specification
Essential
- Minimum 3 years’ experience as an Executive Assistant or senior administrator supporting CEO or director-level leadership
- Exceptional written English and the ability to produce polished, professional correspondence and documentation independently
- Outstanding organisational skills with the ability to manage competing priorities across multiple workstreams simultaneously
- High degree of professionalism, discretion, and emotional intelligence when handling sensitive information
- Composed and adaptable under pressure, comfortable supporting two directors simultaneously in a fast-moving environment
- Strong proficiency in Microsoft Office and cloud-based productivity tools
- Ability to work with considerable autonomy and exercise sound judgement without constant direction
Desirable
- Experience in a healthcare, SEND, education, or Local Authority-adjacent environment
- Familiarity with EHCP processes, NHS or Local Authority commissioning, or independent school / AEP regulations
- Experience supporting compliance or regulatory preparation (CQC, Ofsted, DfE)
- Knowledge of Xero, Employment Hero, or equivalent HR and finance platforms
- Experience supporting investor relations, board reporting, or strategic growth projects
