How to send payslips with Employment Hero

Step 1: Process and finalise a pay run

Enter or import employee hours and earnings. Once calculations, deductions (including PAYE, KiwiSaver and student loans) are reviewed and accurate, finalise the pay run to lock in all data.

Step 2: Publish and distribute payslips

After finalising the pay run, simply publish payslips. Employees are automatically notified by email or SMS that their payslip is ready.

Step 3: Employee Self-Service access

Employees can log in anytime to the self-service portal or the Employment Hero Work app to view, download or print their payslips whenever they need them.

No – payslips are not a legal requirement. However, Employment New Zealand recommends them as best practice. Providing payslips helps reduce disputes and keeps your team informed.

Best practice payslips include gross pay, PAYE tax, KiwiSaver contributions, student loan deductions, leave balances and net pay.

Yes. Digital payslips are widely accepted as long as they are accurate, accessible, and employees can save or print them.

While not mandatory, it’s strongly recommended to issue payslips to all employees – including casual and part-time staff – so they have a clear record of pay and entitlements.

Employers in New Zealand must keep wage and time records, including payroll details, for at least six years. Employment Hero stores payslip records securely in the cloud for easy access.
