Overview of the Role
Part-time
$75,000 – $85,000 (0.6FTE 45k-51k p.a.)
We’re searching for an Executive Assistant & Human Resources (HR) Coordinator to undertake a variety of HR and executive administrative duties. This role involves facilitating daily HR functions like keeping track of employee records and supporting the interview process, with a focus on growing the company’s talent pipeline and improving our sourcing tactics. Additionally, you will provide high-level administration and secretarial support to the partners, and occasionally the leadership team.
Primary Tasks
HR Functions:
- Respond to internal and external HR-related inquiries or requests and provide assistance.
- Maintain records of personnel-related data on Employment Hero (payroll, personal information, leaves, turnover rates, etc.) in both paper and the database and ensure all employment requirements are met.
- Liaise with other departments or functions (Payroll, benefits, etc.)
- Lead the recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, issuing employment contracts, etc.
- Assist staff in performance management procedures.
- Handle all employee onboarding, including the coordination of any required training sessions and/or seminars.
- Maintain updates and training on Employment Hero, collecting employee feedback through surveys and pulse checks when scheduled.
Executive Assistant Functions:
- Provide secretarial support and administrative assistance to the Partners.
- Organize travel and other event-related arrangements.
- Coordinate submissions and document control for tenders.
- Maintain stationary supply inventory.
- Maintain office equipment as needed.
Required Skills:
- Experience with Employment Hero is a must.
- Proven experience as an HR or Office coordinator/admin.
- Knowledge of HR processes and best practices.
- Strong ability in using MS Office (Excel, Word, and PowerPoint).
- Ability to work with ATS software
- In-depth understanding of recruitment sourcing tools (Seek, LinkedIn, Indeed).
- Familiarity with social media recruiting to support casual staffing needs.
- Outstanding communication and interpersonal skills.
- Great organizational and time management skills.
- BSc/BA in Business Administration or a relevant field; additional education in Human Resource Management will be a plus.
