💫What we are looking for?

We are seeking an experienced Referrals Team Leader to lead and manage the referrals function across NHS and private pathways. This role is responsible for the accurate, timely processing of incoming referrals, team leadership, performance oversight, and cross-team coordination to ensure patients progress smoothly into assessment.

The Referrals Team Leader plays a critical role in safeguarding patient experience, compliance, and operational flow at the earliest stage of the pathway.

😎What You’ll Be Doing:

  • Lead the day-to-day operation of the Referrals Team, ensuring all referrals are triaged, validated, and processed accurately and within agreed timeframes
  • Line manage Referrals Officers, including 1:1s, performance management, wellbeing support, and development
  • Oversee inbound referral queues, triaging escalations, allocating work, and managing deadlines
  • Provide technical guidance on referral requirements, GP communications, Right to Choose eligibility, and documentation standards
  • Act as an escalation point for complex or sensitive referral cases
  • Collaborate closely with the NHS Lead, Bookings, Client Services, and Clinical teams to ensure smooth handover of patients once referral requirements are met
  • Monitor and report on key referral KPIs, including referral volumes, response times, form completion rates, and drop-off points
  • Support recruitment, onboarding, training, and upskilling of new team members within the referrals function
  • Ensure consistent, high-quality communication with patients and GP practices, maintaining CARE ADHD tone and standards
  • Identify referral process risks, inefficiencies, or bottlenecks and work with operational leadership to implement improvements
  • Maintain up-to-date knowledge of Right to Choose guidance, GDPR, and internal policies affecting referral handling
  • Represent the referrals function in operational meetings and contribute to wider service planning as volumes fluctuate

🚀To thrive in this role you’ll need to:

  • Experience leading or supervising a high-volume administrative, referrals, or patient-facing team
  • Strong attention to detail and confidence handling complex documentation and eligibility requirements
  • Ability to manage competing priorities and deadlines in a fast-paced environment
  • Clear, professional communication skills, including with GP practices and internal stakeholders
  • Comfort working with KPIs, data, and performance reporting
  • Understanding of confidentiality, data protection, and patient safety requirements
  • A calm, supportive leadership style that balances accountability with empathy
  • Flexibility and resilience in a rapidly evolving healthcare service
