The position
An opportunity exists for an experienced Executive Assistant to the CEO to provide high-level, practical and proactive support to our CEO. This is a trusted position, working in the detail and staying one step ahead.
The role is part-time, working approximately 3-4 hours a day, for a minimum of three days per week, with the opportunity for that to increase over time. At this stage, it is predominantly working from home, with some flexibility to schedule your hours within business hours. At times, you will be expected to attend our Toowoomba and/or Ipswich offices, as well as external meetings and events with the CEO. Fleet vehicles are provided for between-office travel. Occasionally, overnight travel may be required.
You may also be asked at times to provide coordination and administrative support to the broader Executive Team where required.
Responsibilities include:
- Proactively managing the CEO’s diary, appointments, meetings and schedule, including prioritising requests and resolving clashes.
- Managing and triaging the CEO’s inbox, correspondence and incoming requests, including drafting responses and redirecting or following up matters as appropriate.
- Coordinating meetings, including scheduling, preparing agendas and supporting materials, taking minutes or notes where required, and following up actions.
- Coordinating travel, external appointments, events and other commitments for the CEO.
- Tracking the CEO’s tasks, priorities, deadlines and actions and proactively following up outstanding items.
- Undertaking research and gathering information to support the CEO with meetings, decisions and organisational priorities.
- Acting as a key point of contact between the CEO and internal and external stakeholders.
- Coordinating information and contributions from across the organisation for reports, submissions, presentations and other CEO requirements.
The person
This role would suit an experienced EA who enjoys taking ownership, bringing structure to competing priorities, providing the kind of practical support that makes a busy executive’s day run smoothly.
Ideally, you will bring:
- Uncompromising commitment to maintaining confidentiality and privacy.
- 5+ years of demonstrated experience providing high-level executive or personal assistant support to a CEO, senior executive or equivalent.
- Ability to manage complex and competing priorities with a high degree of autonomy.
- Clear and respectful written communication skills and experience preparing executive correspondence, briefings, reports, and presentations.
- Excellent organisation, prioritisation, and time-management skills.
- The ability to anticipate and use initiative to make sound decisions within delegated authority.
- Confidence communicating with executives and senior external stakeholders.
- Attention to detail and a commitment to accuracy and quality.
- Strong research, analytical and problem-solving skills.
The successful applicant will need to hold or be eligible to obtain Working with Children (Blue Card) and Disability Worker (Yellow Card) screening clearances, hold a current unrestricted Queensland driving licence, and have unrestricted Australian working rights.
