Description
About Us
At Stuart Alexander & Co, we are one of Australia’s largest privately-owned FMCG companies, importing, marketing, and distributing premium brands including Chupa Chups, Mentos, Tabasco, & Hershey’s. We are passionate about building long-term brand equity and delivering exceptional value to our customers. Everything we do is grounded in a strong set of values that encourage bold thinking, accountability, collaboration, clear communication, and genuine care – for our people, our partners, and our brands.
The Role
We’re looking for an experienced Accounts Payable Specialist to join our Finance team and play an important role in keeping our accounts payable function running smoothly and efficiently.
This is a hands-on role for someone who is confident working autonomously and takes ownership of their work from start to finish. You’ll be responsible for the end-to-end accounts payable process, with a particular focus on debit notes, reconciliations and resolving discrepancies.
We’ve recently implemented a new system (Provenio), and this role will be instrumental in embedding it into our day-to-day processes, identifying opportunities for improvement and ensuring we get the most out of its capabilities. Working closely with suppliers, internal stakeholders and the wider Finance team, you’ll help maintain accurate records, resolve issues efficiently and ensure payments are processed in a timely and controlled manner.
Key Responsibilities
- Manage the end-to-end accounts payable process, including invoice processing, coding, approvals, payment preparation (including foreign currency payments) and supplier account maintenance.
- Prepare, process, track and reconcile debit notes, ensuring deductions and claims are accurately recorded, supported and followed up.
- Investigate discrepancies, resolve outstanding items and liaise with suppliers and internal teams to ensure issues are closed out.
- Act as a key point of contact for supplier queries, invoice discrepancies, outstanding balances and payment enquiries, building effective working relationships and ensuring timely resolution.
- Help embed our recently implemented finance system into everyday AP operations, troubleshoot issues, improve data accuracy and identify opportunities to streamline workflows.
- Complete supplier reconciliations, review outstanding invoices and debit notes, and support month-end reporting and accruals.
- Partner with colleagues across Finance and the wider business to resolve issues, improve processes and ensure a smooth accounts payable cycle.
- Monitor outstanding items, maintain clear records and provide visibility of unresolved discrepancies, supplier balances and debit note status.
- Management of Credit card reconciliations / settlements
What We’re Looking For
We’re looking for a detail-oriented and solutions-focused finance professional who enjoys taking ownership, solving problems and improving processes.
- Solid experience in accounts payable, ideally in a mid-level or senior AP role.
- Strong understanding of the end-to-end accounts payable process, including invoice processing, reconciliations and payment runs.
- Demonstrated experience managing debit notes, supplier deductions, claims and complex account discrepancies.
- Strong attention to detail and a practical, solutions-focused approach to problem-solving.
- Clear communication skills and the confidence to follow up with suppliers and internal stakeholders.
