About the Role

PSM Upstream Solutions is seeking motivated Workshop Office Manager / Administrator to support preservation, storage, maintenance, inspection, testing, and refurbishment activities across workshop and industrial equipment.

Key Responsibilities

  • Take ownership of their own quality of work.

  • Coordinate and oversee the day-to-day administrative operations of the workshop office, ensuring efficient workflow and compliance with company procedures by balancing administrative duties with hands-on support for the execution and mobilisation teams.
  • Work closely with the Operations Lead to coordinate workflows and troubleshoot delays, ensuring all projects remain on schedule.
  • Create and manage ticket sheets to track assets accurately from arrival through every stage of execution, ensuring all client, supplier, and operational paperwork is accurate, complete, and maintained in accordance with business requirements.
  • Coordinate procurement activities, including preparing purchase requests, liaising with suppliers as required, and liaising with project managers to ensure procurement and material specifications are met.
  • Liaise with Operations Lead and Operations Manager to ensure customer, suppliers, and service providers orders, deliveries, and administrative support is met.
  • Assist management in coordinating staff schedules, and monitoring workflow to ensure operational efficiency.
  • Assist in the preparation and processing of invoices, service documentation, customer records, and other business correspondence.
  • Provide administrative support for HSE compliance, maintaining safety records and assisting with safety observations and incident investigations where required.
  • Provide administrative support for onboarding of new staff.

Requirements

  • Minimum 3 years’ experience working in a similar role.
  • Good attention to detail and ability to work as part of a team.
  • Good knowledge of safety practices.
  • Good computer skills for records and documentation.
  • Valid Class C driver’s licence desirable.
  • A valid work visa or Australian work rights are required for this position.
