We are looking for a confident and experienced Front Office Coordinator / Assistant Manager to step into a key operational and leadership role within one of our busy clinics.

This is an opportunity to build on your existing dental experience, take greater ownership and develop your leadership skills while playing a key role in the day-to-day running of the clinic.

The Role

This is a hands-on operational role for someone who enjoys being at the centre of a busy clinic.

Working closely with the Multi-Site Practice Manager, you’ll be the key operational point of contact within the clinic, taking ownership of daily priorities, coordinating the team and helping ensure patients, providers and staff are set up for a successful day.

Your responsibilities will include:

  • Coordinating daily clinic operations, appointment flow and team workflow
  • Supporting and guiding the front office and clinical support teams
  • Managing rosters, staffing coverage and day-to-day operational priorities
  • Coordinating treatment scheduling, surgery logistics, stock and clinic resources
  • Escalating operational issues and supporting Nova’s policies, standards and processes

This role is ideal for someone who enjoys taking ownership, solving problems and keeping a busy clinic running smoothly and who is ready to step beyond their current role and take on more responsibility.

About You

You may currently be working as a Senior Dental Receptionist, Dental Coordinator, Treatment Coordinator, Front Office Coordinator, Practice Coordinator or Senior Dental Administrator.

You don’t necessarily need to have held an Assistant Practice Manager title before. What’s important is that you have a strong foundation in dental and are ready to take the next step.

To be successful in this role, you’ll ideally have:

  • Previous dental reception or senior dental administration experience
  • A strong understanding of dental practice operations and patient flow
  • Leadership, team coordination or supervisory experience
  • Strong organisational, communication and problem-solving skills
  • Experience with dental practice management software, ideally CareStack
  • A proactive approach with a strong sense of accountability

Most importantly, you’ll be someone who naturally takes ownership, enjoys helping a team succeed and is ready to grow into a greater leadership role while maintaining an exceptional patient experience.
