Mackay Women’s Services is a not-for-profit organisation providing free specialist domestic, family and sexual violence support services across the Mackay, Isaac and Whitsunday regions. The Front Office Support Officer is responsible for delivering exceptional customer service and reception support while coordinating a range of administrative and office functions. This role serves as the first point of contact for clients, visitors, and stakeholders, manages appointments and enquiries, provides administrative support to staff and clinicians, maintains an organised and welcoming workplace environment, and supports the smooth day-to-day operation of the front office. The position requires professionalism, discretion, strong organisational skills, and a commitment to creating a safe, respectful, and inclusive experience for all who engage with the organisation. Other duties may be required within the scope of the role.

Flexible working arrangements are available, with the role offered as either full-time or permanent part-time (minimum 20 hours per week).

Key Responsibilities (including but not limited to):

  • Provide a professional, welcoming, and confidential first point of contact for clients, visitors, stakeholders, and the wider community.
  • Manage reception activities, including enquiries, appointment scheduling, and coordination of client communications.
  • Deliver a broad range of administrative support, including correspondence, document preparation, records management, filing, and general office administration.
  • Support clinicians and staff with administrative tasks to ensure the efficient delivery of services.
  • Maintain a safe, organised, and welcoming office environment, including coordination of office supplies, facilities, and workplace requirements.
  • Assist with the day-to-day operation of the front office, identifying and escalating issues where required.
  • Provide high-quality customer service while supporting clients who may be experiencing sensitive or complex situations.
  • Promote a culture of professionalism, respect, confidentiality, and inclusivity in all interactions.
  • Undertake other duties within the scope of the position as reasonably directed.
