About the Role

We are seeking an experienced Scheduler / Administrator, internally known as the Job Coordinator, to join our service delivery team in a full-time capacity.

In this role, you’ll play a key role in driving exceptional outcomes for our clients and ensuring smooth day-to-day operations. Based at our Geebung head office on Brisbane’s Northside and reporting to the General Manager, you will coordinate and oversee service and maintenance requests, optimise workflows, and deliver a superior customer experience.

This role suits someone who enjoys keeping things moving, solving problems as they arise, communicating clearly, and bringing calm organisation to a busy operational environment. Key Responsibilities

You will be responsible for coordinating service delivery from start to finish, ensuring every job is planned, tracked, and completed efficiently.

You will:

  • Act as the central point of coordination for incoming service requests, keeping communication clear and timely.
  • Schedule and dispatch technicians through SimPRO, ensuring jobs are well-planned and workflows are optimised.
  • Review and approve timesheets with a focus on accuracy and compliance.
  • Coordinate follow-up works, including materials and quoting, to ensure jobs are completed without delay.
  • Maintain customer portals and ensure all required documentation is accurate and up to date.
  • Track performance metrics and support consistent, high-quality service delivery.
  • Invoice completed works promptly and accurately.
  • Provide day-to-day administrative support to technicians, enabling them to focus on delivery in the field.
  • Be a decision maker! Know the processes and make the call on what needs to be done for our clients.

  • Minimum 1-2 years of experience in scheduling, coordination, or administration roles.
  • Exposure to SimPRO or similar job management systems (advantageous but not essential).
  • Australian work rights are required for this position.
