We’re looking for a part-time Customer Operations Specialist to join our friendly and fun team in Eltham and help keep the operations behind Healthy Harold running smoothly.
Sitting at the heart of our customer operations, this is a varied, hands-on role combining school bookings, scheduling, customer service, sales and operational coordination.
You’ll be talking with schools & facilitators every day, building great relationships, coordinating bookings and facilitator schedules, solving problems when plans change, and identifying opportunities to retain and grow our school bookings.
You’ll also work with our custom HubSpot CRM, helping keep our data and processes running smoothly and identifying ways we can work smarter. No two days will look exactly the same, so we’re looking for someone who enjoys variety, takes ownership and can keep smiling when the puzzle pieces need to be rearranged!
The Tasks:
- Deliver exceptional customer service to schools, managing enquiries and communications across phone and email.
- Manage school bookings and coordinate facilitator schedules, working directly with schools and facilitators to resolve changes and keep program delivery running smoothly.
- Proactively engage schools through outbound sales, promoting our programs and identifying opportunities to retain and grow bookings.
- Think on your feet and solve customer, booking and scheduling challenges calmly and confidently as they arise.
- Maintain accurate customer and booking information and develop a strong working knowledge of our custom HubSpot CRM.
- Work closely within the operations team to manage a shared workflow and ensure priorities are covered.
- Collaborate with and support the broader administration team as required.
- Identify opportunities to improve customer service, booking, scheduling and operational processes.
About You:
- An experienced customer service, operations, bookings, scheduling or sales professional who is comfortable taking ownership of their work.
- Confident and comfortable communicating with customers by phone and email.
- Naturally positive, resilient and solutions-focused.
- Highly organised, with strong attention to detail and the ability to manage competing priorities.
- Calm and adaptable when schedules, priorities or circumstances change.
- Strong at building relationships and communicating with a range of stakeholders.
- Commercially minded and comfortable identifying opportunities to retain and grow customers.
- Confident working with CRM systems, databases and technology, with the ability to quickly learn new platforms.
- Someone who enjoys improving processes and finding more effective ways of working.
- Friendly, professional and collaborative, with a genuine willingness to contribute to a small, purpose-driven team.
- Experience within a primary school would be advantageous but not required.
