Practice Coordinator

Gro Clinics is looking for a proactive and organised Practice Coordinator to join our team. This is an exciting opportunity for someone client focussed with a strong background in administration, reception or healthcare who is ready to take the next step in their career. 

As the Practice Coordinator, you’ll be at the heart of our clinic operations—supporting our Practice Manager, leading the day-to-day coordination of the practice, and ensuring every client receives a world-class experience from the moment they walk through our doors.

Your Role 

Reporting to the Practice Manager, you will work collaboratively with our doctors, nurses, clinical assistants, Client Liaison team, , Finance Team and Head Office to ensure the smooth day-to-day operation of the practice. 

Your responsibilities will include: 

  • Delivering a premium front-of-house experience for every client and visitor. 
  • Providing oversight and coordinating the daily operation of the practice to ensure efficient workflows. 
  • Supporting and supervising front-of-house activities and assisting with day-to-day team coordination. 
  • Managing inbound and outbound calls, emails and client communications. 
  • Booking, confirming and rescheduling consultations and treatment appointments. 
  • Maintaining accurate client records within our CRM and clinical systems. 
  • Monitoring appointment schedules and proactively identifying potential issues. 
  • Occasionally assisting with stock management and ordering of clinic supplies. 
  • Completing end-of-day banking and administrative reconciliations. 
  • Supporting compliance with company policies, procedures and operational standards. 
  • Assisting the Practice Manager with implementing new processes and continuous improvement initiatives. 
  • Working closely with clinical and corporate teams to ensure a seamless client journey. 
  • Providing administrative support and assisting with other operational duties as required.

About You 

You’ll be a highly organised, confident and approachable professional who enjoys supporting both clients and colleagues. You take pride in your work, remain calm under pressure and naturally look for ways to improve processes and solve problems. 

You will also have: 

  • 2+ years’ experience in customer service, administration, medical reception, practice coordination or a similar client-facing role. 
  • Exceptional customer service and communication skills. 
  • Strong organisational skills with excellent attention to detail. 
  • The ability to manage competing priorities in a fast-paced environment. 
  • Confidence using multiple systems and technology platforms. 
  • A proactive approach to problem solving and continuous improvement. 
  • The ability to build positive working relationships across all levels of the business. 
  • Experience within healthcare, medical, cosmetic or allied health (desirable but not essential). 
  • A willingness to travel interstate on occasion if required.
