EMVision Medical Devices Ltd (ASX:EMV) is a publicly listed medical technology company with ambitions to reduce the global burden of stroke and traumatic brain injury. Our first commercial product, the emu™ in-hospital brain scanner, is currently undergoing an international pivotal trial at leading centres including Mayo Clinic, UCLA, UTHealth and Mt Sinai to support regulatory clearance. Our second product, the First Responder pre-hospital scanner, is following closely behind.

 

As we transition from a strong R&D focus toward commercialisation and market entry, we are seeking an experienced Accounts and Purchasing Officer in this multifaceted role. This is an opportunity to contribute to a progressive, well-funded start-up environment as we pursue a United States first approach, global expansion ambitions, and the establishment of a pilot production line in Sydney.

 

About the role

Reporting to the Financial Controller, the Accounts and Purchasing Officer is responsible for managing accounts payable, purchasing and logistics activities, while acting as a key point of contact for suppliers, freight forwarders and internal stakeholders.

 

Key responsibilities include:

 

Accounts & Finance Support:

  • Process supplier invoices accurately and promptly, ensuring correct coding, approvals and matching to purchase orders.
  • Manage the accounts payable inbox and function, responding to supplier and internal stakeholder enquiries in a timely and professional manner.
  • Reconcile corporate credit card transactions monthly, ensuring receipts are collected and expenses are accurately coded in line with policy.
  • Assist with month-end close activities, including accounts payable accruals and reconciliations.
  • Support the Finance team with ad hoc administrative and transactional tasks as required.
  • Maintain accurate and well-organised records for accounts payable, purchasing and logistics documentation.
  • Identify and support process improvements across the accounts payable, purchasing and logistics functions.

 

Purchasing & Supplier Management:

  • Manage the purchase order process, including issuing purchase orders, securing appropriate approvals, and matching orders to invoices and deliveries.
  • Track deliveries, resolve discrepancies, and coordinate returns or credits as required.
  • Maintain the supplier master file, including new supplier set-up, banking detail verification and relevant compliance checks.

Logistics and Freight:

  • Coordinate domestic and international freight and logistics, liaising with freight forwarders, couriers and customs brokers.
  • Prepare and manage import and export documentation, ensuring compliance with customs requirements for clinical trial equipment and consumables.
  • Monitor shipments and proactively resolve delays or issues in collaboration with freight forwarders and suppliers.

 About you

 

To be successful in this role, you will bring:

 

  • Certificate or Diploma in Accounting, Business Administration, Logistics/Supply Chain, or a related field (or working towards).
  • 2+ years’ experience in an accounts payable, purchasing and/or logistics/freight coordination role, i.e. accounts payable & PO processing, corporate cards reconciliations, expense claims, import / export documentation
  • Self-direction and the ability to manage competing priorities and deadlines.
  • Confident using cloud-based business systems, ideally including Xero and Odoo, with strong Microsoft Excel skills.
  • Strong attention to detail, with a commitment to accuracy and quality in transactional work.
  • Well-developed organisational and time management skills, with the ability to balance competing priorities and meet deadlines.
  • Clear and professional communication skills, with confidence liaising with suppliers, freight forwarders and internal stakeholders.
  • A proactive, reliable and process-driven approach, with the initiative to anticipate needs, identify issues early and take practical action.
