Description

Summary:

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our senior executives. The ideal candidate will possess exceptional communication skills, a keen eye for detail and the ability to handle multiple tasks simultaneously while maintaining confidentiality and professionalism.

Responsibilities:

Administrative Support

  • Plan, organise and manage Board and management team meetings, ensuring effective communication with Directors including preparing agendas, taking minutes and following up on action items.
  • Prepare correspondence, reports and presentations.

Communication

  • Serve as a point of contact between executives and internal/external stakeholders. Handle phone calls, emails and other communications with discretion and professionalism.

Project Management

  • Assist with project coordination including managing all projects in ClickUp, tracking progress, preparing reports and ensuring deadlines are met.
  • Coordinate cross-functional teams to ensure successful project completion.

Office Management

  • Oversee office supplies, equipment maintenance and other administrative tasks as needed.

IT

  • Work closely with our IT consultants to ensure the security and efficiency of organisational systems.
  • Manage onboarding and offboarding of staff.

People and Culture

  • Promote and nurture a positive and inclusive organisational culture.
  • Lead initiatives related to employee engagement, development and retention.
  • Manage uniforms including ordering and distribution.

Requirements

  • Proven experience as an executive assistant or similar role. Experience in the hospitality sector is a plus.
  • Exceptional organisational and time-management skills. Proficient in Google Workspace, Microsoft Office 365, ClickUp and familiarity with office management software.
  • Excellent verbal and written communication skills. Ability to interact effectively with all levels of the organisation.
  • Strong attention to detail and accuracy. Ability to handle sensitive information with discretion.
  • Ability to work independently, prioritise tasks and adapt to changing priorities in a fast-paced environment.
  • Bachelor’s degree in Business Administration, Management or a related field is preferred.
  • Maintain confidentiality regarding sensitive company information and executive matters.
