Expected results, outcomes and quotas

As Contract Administrator you are responsible for the following outcomes:

  • Develop contract proposals to support organizational goals
  • Review contract estimates, including proposed materials, production costs, etc and determine whether they seem reasonable and accurate
  • Ensure that all records are accurate and up to date
  • Write contract letters and other communications and notices
  • Negotiate and approve contract terms while ensuring that projects remain within the established budget
  • Attend meetings to assess progress on projects which are in motion, and take detailed notes to share with stakeholders
  • Create regular status reports regarding progress on projects
  • Analyse contracts to ensure they comply with laws and regulations
  • All deddlines met with efficient and accurate response times in communication and execution of all tasks.
  • Assigned Project Managers fully supported for successful delivery of projects.
  • Company policy and processes applied.
  • Through inspection and supervision of tradespeople, ensure that quality and safety standards, costs and deadlines are met.

Role & Respbsibilities

As a Contract Administrator you are ultimately responsible for the successful delivery of projects that are assigned to you which includes project prep and set up as well as ensuring project scope and quality is executed correctly. You are responsible for ensuring these projects are built within time frame, budget, and most importantly scope with zero defects.

Some of your duties are as follows, and in the instances, you are not personally carrying out the following, you will be managing your team to:

  • Ensuring your projects are organised to scope, budget, and period and being so TOUGH and VIGOROUS with this, no matter what.
  • Ensuring project scope, are allocated and understood by the right parties.
  • Ensuring project documentation and administration is set up completely.
  • Following and enforcing of company policy
  • Ensuring your team is trained.
  • Coaching, mentoring, and upskilling your team.
  • Assisting the construction team to help achieve the below, and stepping in where they are unable or unwilling to:
  • Assigning project targets for our construction team, based on project period, scope and budget.
  • Ensuring these targets are specific and achievable, although pushes the team to be ahead of schedule, deliver high quality, and work within budget.
  • Documenting changes daily and sending to the Construction / Project team for the project (where applicable).
  • Timesheets used daily, including break times
  • Understanding and following project contracts so well that we are never liable for damages for not adhering to or following contract guidelines.
  • Escalating any design or project issues to the Project Manager where they cannot be handled by yourself.
  • Advising the project team about any approved long lead items that need to be ordered immediately to meet the program.
  • Ensuring scope and site changes are updated and complete to ensure a full set of as built can be handed to the client.
  • Understand materials and trades required, budgets and timelines.
  • Assessing suppliers and getting the best solution for meeting budgets, timelines, quality, and latest trends.
  • Maintain accurate records and stay fair and firm for creating agreements with suppliers and staff alike.
  • Ensure everything is documented, handed over and delivered ahead of time so project starts are timely.
  • Provide ongoing admin support and coordination until the project is finished and moved from ‘current’ to ‘completed’ projects.
  • Provide ongoing up-to-date changes/revisions to the project team to ensure the latest plans are always being used and always followed.
  • Assist to manage operational deliverables in line with contract obligations.
  • Attend site meetings.
  • Doing whatever it takes to keep the show on the road.
