We’re seeking an experienced Receptionist to join our Melbourne Front of House team.

As the first point of contact for clients and visitors, you will play a crucial role in delivering exceptional client service while managing key administrative responsibilities for our Melbourne office.

Key responsibilities include:

  • Greet clients and visitors with professionalism, ensuring a welcoming and seamless experience both in person and over the phone. 
  • Operate a Teams switchboard, directing calls efficiently to the appropriate departments. 
  • Oversee meeting room bookings, including setup, catering coordination, and post-event cleanup. 
  • Ensure the reception area and meeting rooms are always tidy, presentable, and well-stocked. 
  • Provide visitors with refreshments and arrange catering as required
  • Handle incoming and outgoing mail, sorting and distributing it accordingly. 
  • Organise and coordinate local, interstate, and international couriers. 
  • Assist in the planning and execution of office events, including End of Financial Year and Christmas functions. 
  • Coordinate staff travel bookings as required. 
  • Maintain and order office supplies, ensuring smooth daily operations. 
  • Ensure the cleanliness and upkeep of shared office spaces and staff kitchens. 
  • Arrange staff gifts in line with the Internal Staff Gifts Policy. 
  • Log maintenance requests with Building Management. 
  • Assist staff and clients with IT setup requests, such as video conferencing and troubleshooting minor technical issues. 
  • Reconcile invoices and expenses related to office supplies, couriers, and events. 
  • Provide general administrative support as needed.

You’ll ideally bring:

  • Previous experience in a similar reception or front-of-house role within a corporate environment
  • Skilled in Zoom meetings and virtual presentations
  • Strong communication and interpersonal skills, with a warm and engaging approach
  • Highly organised and reliable, with great attention to detail
  • Skilled in time management, with the ability to multitask and prioritise effectively.
  • Comfortable working both independently and collaboratively within a team.
  • Familiar with Microsoft Office and Teams switchboard systems.
  • Experience with accounting software (e.g., Concur) is an advantage.
