Woodford House, a leading Anglican Special Character, state-integrated, boarding and day school for Year 7 – 13 girls, in Hawke’s Bay is seeking to appoint a permanent, Personal Assistant to the Senior Leadership Team to join our passionate and enthusiastic administration team. We nurture each girl who walks through our doors so that her light shines brighter.
About the Role
We are looking for a highly capable Personal Assistant to provide proactive administrative support to our three Deputy Principals and Head of Junior School. This role plays an integral part in coordinating the busy schedules and workloads of our senior academic leaders and is a central support link for all staff and students.
This role is ideal for someone who thrives on variety, enjoys responsibility, and has the ability to stay two steps ahead in a dynamic and fast-paced environment.
Key responsibilities include:
– Executive administration support to the Deputy Principals and Head of Junior School including correspondence, agenda prep and document drafting, as well as diary and timetable management.
– Superuser of the Student Management Software (KAMAR), including driving the increased capability of KAMAR across the School.
– Working with the Senior Management Team to provide coordination and oversight of the School calendar processes for seamless and accurate information to be available to staff, students and the parent community at all times.
– Supporting the Head of Junior School with our Global Exchange programme, organising paperwork, communication and logistics for staff and students who are involved in school exchanges.
– Coordinate and collate the information required for school publications and documents, such as School Handbook, Subject Information Booklet, Testimonial and Scholarship and school reports.
This is a permanent, full-time role, working for the full year, reporting to the Director of People and Administration, it is an important role in the high performing, friendly and helpful administration team.
About You
The successful candidate will be an experienced administrator, who enjoys wearing multiple hats and brings strong judgment, initiative, and organisational savvy to every task. If that resonates with you, then you’ll be confident liaising with a diverse group of people and have a passion for being part of a smooth, professional, and people-focused team.
You will bring:
- Strong administrative and organisational skills – from managing diaries to events
- Experience handling confidential matters with professionalism and discretion
- Excellent communication, time management, and attention to detail
- Proven ability to prioritise tasks from multiple stakeholders
- Strong technical proficiency – Microsoft Office Suite, SharePoint, e-diaries, video conferencing systems, and KAMAR experience would be advantageous
- Ability to adapt and contribute proactively in a dynamic environment
- Previous experience as a Personal Assistant to multiple senior leaders is desirable
- A commitment to Te Tiriti o Waitangi, and the Special Character of Woodford House
- Knowledge or experience in process improvement or business support optimisation would be a plus
- Previous experience in a school or education environment is preferred but not essential
You must be eligible to work in New Zealand and satisfactorily pass all pre-employment checks such as Police Vetting and reference checking.
