Description

Summary:

The Kaiāwhina Tumuaki provides high-level administrative, organisational, and operational support to the Tumuaki / Chief Executive and the wider leadership team. This role is essential for ensuring the smooth functioning of executive operations and requires a strong alignment with the values of Te Whakaruruhau, exceptional organisational skills, and the ability to remain agile in a dynamic, people-focused environment.

Responsibilities:

  • Provide confidential, professional support to the Tumuaki / Chief Executive
  • Manage calendars, appointments, meetings, and schedules
  • Manage calendars, appointments, meetings, and schedules proactively
  • Prepare agendas, minutes, correspondence, reports, and supporting documentation
  • Assist with invoice processing, expenditure tracking, and routine financial administration
  • Keep organisational systems accurate and up to date
  • Support budget monitoring and related documentation
  • Maintain accuracy of organisational systems and data
  • Assist with hui, events, stakeholder engagements, and community activities
  • Collaborate with frontline kaimahi when operational support is required
  • Undertake other tasks aligned with the kaupapa and needs of Te Whakaruruhau
  • Demonstrate flexibility, initiative, and a willingness to support colleagues and whānau

Qualifications:

  • Proven experience in an administrative role, preferably supporting senior management
  • Strong understanding of basic financial processes and administration
  • Excellent organisational, time-management, and prioritisation skills
  • High level of confidentiality and professionalism
  • Strong communication skills, both written and verbal
  • Ability to adapt, be proactive, and focus on solutions
  • Capable of working independently as well as collaboratively
