Role Summary
Our small People Experience team strives to create and deliver a seamless and positive employee experience across the entire employee lifecycle no matter where our team are employed. Our team provides consistent service and support across people operations and initiatives within New Zealand and offshore.
In a busy and varied part time ( 20 hours per week) role, the People Experience Coordinator will oversee day-to-day HR administration and coordination for the People team, while also managing facilities for our small Auckland office. You will perform operational duties to keep processes running smoothly and deliver an excellent employee experience. You’ll facilitate and contribute to a variety of people-related processes and programmes, including benefits, culture events, employee communication, learning and development, leave programmes, onboarding, employee relations, and recruiting. You will also serve as the primary point of contact for office management and facilities duties for our Auckland office.
Reporting Line
This role reports to the Global Head of People Experience.
Key Responsibilities
- Provide high-touch service as the first point of contact for general employee questions about people systems, processes, and benefits.
- Create a positive new hire experience by coordinating employee onboarding, facilitating orientation, and serving as the liaison to new hires during the onboarding process.
- Provide operational support and maintain accurate employee data and files across our various systems (HRIS and related tools).
- Provide administrative support to the company’s people processes, including but not limited to annual salary reviews, performance reviews, engagement surveys, etc.
- Plan and coordinate celebrations, culture events, employee gifts, onboarding packs, and service awards.

Office & Facilities Management (Auckland office): Act as the first point of contact for office management queries; ensure a positive working environment by keeping the office stocked (weekly), clean, organised, and well-maintained; manage day-to-day facilities needs for our small team.
- Draft employee agreements, letters, and other documentation; ensure full utilisation of our HRIS system.
- Assist with and complete ad hoc projects, reporting, and tasks as directed by the needs of the People Experience Team.
About You
- A tertiary qualification in a relevant discipline (e.g., HR, Business Administration, or equivalent).
Skills & Experience
- A minimum of 3 years of human resources experience, with strong focus on HR administration, coordination, and people operations.
- Exceptional working knowledge of current New Zealand employment legislation.
- Proven attention to detail with exceptional organisational skills and the ability to prioritise tasks in a fast-paced environment.
- Commitment to encouraging transparency within the team and the greater organisation.
- Proven aptitude for learning and adopting new tools / technologies.
- Able to work autonomously and self-drive performance and development.
- Previous experience in a people-centric role with a focus on onboarding, career mobility, transitioning, and general People Operations.
- Experience or strong aptitude for office/facilities management in a small office setting is highly desirable.
- Able to work and cope in a fast-paced role placing a sharp focus on accuracy and urgency.
- Dynamic personality with a professional, yet go-getter attitude is a must.

Availability
We are looking for someone that is available four hours per day, Monday – Friday, between the hours of 10am-5pm. While we do offer flexible working and hybrid arrangements, due to the office management portion of this role work from home will be by exception only.
