Description

Pathlab is more than a laboratory – it’s a network of passionate professionals dedicated to improving community health. Owned by pathologists, and operating across the Bay of Plenty, Waikato and Lakes regions, we bring the scale and technical sophistication of a multiregional organisation with the spirit of a close-knit team.

We employ over 550 people and process millions of diagnostic tests annually, with a legacy of technical innovation, digital advancement, and continuous improvement. We’re proud to have built one of the most progressive diagnostic services in Australasia, while retaining a workplace culture that values relationships, mutual respect, and service to our communities.

We are looking for a commercially aware, analytically strong professional who can operate at a senior level who can interpret context, shape executive communications, and convert direction into clear, high-quality outputs that support decision-making and organisational momentum.

Someone who is naturally curious about new technology, actively experiments with AI tools, and looks for smarter ways of working rather than accepting traditional processes

About the Role

Working in close partnership with the Chief Executive and supporting the broader C-suite, you will play a central role in ensuring executive priorities translate into action.

This role suits someone who enjoys working at the heart of organisational strategy and who takes pride in producing work that is clear, credible, and decision-ready.

You will manage workflow across multiple leaders, prepare governance-level material, and use digital tools to streamline processes, improve visibility, and reduce manual administrative load across the Executive Office.

Key responsibilities will include:

Communication & Engagement

  • Communicate with impact across a range of audiences, both internally and externally, confidently translating complex or technical information into clear, engaging content tailored to different stakeholders.
  • Leverage modern communication channels — including social and digital platforms — to enhance engagement, build visibility, and support organisational priorities. This includes; crafting compelling content for platforms such as LinkedIn and other relevant channels
  • Using social media strategically to support employer brand, stakeholder engagement, and key initiatives
  • Bringing a contemporary, forward-thinking approach to how we communicate as an organisation
  • Monitoring engagement and adapting messaging to maximise reach and impact
  • You’ll combine strong written and verbal communication skills with a proactive, creative mindset

Executive partnership and delivery

  • Act as a trusted partner to the Chief Executive, maintaining visibility of priorities, commitments, and emerging issues
  • Translate direction into structured actions, ensuring progress across complex and competing workstreams
  • Anticipate needs and intervene early to keep critical work moving

 Digital enablement, AI and automation

  • Use Microsoft 365, Copilot, and other AI-enabled tools to improve drafting, information synthesis, meeting capture, and workflow tracking
  • Identify opportunities to automate routine processes, reduce duplication, and improve information flow across the Executive Office
  • Introduce and maintain practical systems for document control, action tracking, and executive reporting visibility
  • Act as a champion for modern ways of working, helping senior leaders adopt tools that improve efficiency and communication

 Board and executive reporting

  • Draft and refine Board papers, executive reports, presentations, and briefings to a professional, governance-ready standard
  • Synthesise information from multiple sources into concise, accurate, and well-structured material
  • Coordinate the end-to-end Board and committee paper process, including agendas, minutes, and action tracking

 Executive coordination and follow-through

  • Maintain oversight of actions arising from executive and governance meetings, ensuring timely completion
  • Coordinate input from senior leaders and external stakeholders to meet deadlines and quality expectations
  • Manage executive calendars in a way that protects strategic time and supports preparation for key decisions

About You

You are a highly capable professional who thrives in environments where judgement, discretion, and written communication matter. You are comfortable working with senior leaders and understand the pace, complexity, and ambiguity that comes with executive decision-making.

You are not only highly organised and an exceptional writer—you are also digitally confident and forward thinking. You take initiative to test new tools, refine processes, and continuously improve how work is delivered

You will bring proven experience supporting a Chief Executive or senior executive team in a complex organisation and demonstrated ability to draft high-quality reports, board papers, and executive communications.

Why this role is different

Many executive support roles focus primarily on logistics and administration. At Pathlab, this role is designed as a delivery-focused, digitally enabled executive partnership role that contributes directly to organisational performance.

Someone who helps the organisation move faster, communicate more clearly, and operate with less manual overhead. You will be expected to think critically, question inefficient processes, and actively shape how the Executive Office uses technology to operate
