Description

Are you a people person who also enjoys communications, digital content and administration?

HBH Group is looking for a warm, capable and highly organised Communications Support & Office Administrator to join our team at HBH Howick Views.

This is first and foremost a people-focused role.

Based at our main reception, you will have regular contact with older people, families and whānau, visitors, staff and volunteers. We need someone who enjoys helping people, builds rapport naturally and feels comfortable as one of the first people someone meets when they contact or visit HBH.

Alongside your front-of-house responsibilities, you will support HBH’s communications, digital channels and office administration.

One moment you may help a family member at reception. The next, you may update the website, prepare a social media post, proofread a newsletter or complete an administrative task.

This role suits someone who enjoys variety, works well with people and can move between a busy front-of-house environment and detailed desk-based work without losing track of what needs to happen.

You will work closely with the Executive Assistant and Communications Lead and support work across HBH Group.

About the role

Your responsibilities will include:

  • Sharing responsibility for our main reception and providing a warm, respectful and professional experience
  • Responding to telephone, email and in-person enquiries
  • Building positive relationships with residents and people across the HBH community
  • Supporting newsletters, staff communications, publications and organisational updates
  • Updating HBH’s WordPress website, social media channels and digital displays
  • Creating and adapting communication materials using Canva and other digital tools
  • Supporting events, surveys, reports and organisational projects
  • Maintaining databases, records and other organisational information
  • Providing general office and administrative support
  • Keeping track of actions, deadlines and outstanding work

About you

The right person for this role will genuinely enjoy working with people and feel confident in a busy front-of-house environment.

You will bring:

  • At least three years of relevant work experience, including customer-facing or front-of-house experience
  • Confidence dealing face to face with a wide range of people
  • A warm, patient and respectful communication style
  • Strong written communication skills
  • Strong attention to detail and good organisational skills
  • The ability to manage several priorities and deal well with interruptions
  • Initiative and the ability to take responsibility for a task and follow it through
  • Sound judgement, discretion and respect for confidential information
  • Good Microsoft 365 skills
  • Confidence with digital systems and the ability to learn new platforms

You will ideally also have practical experience with some of the following:

  • WordPress or another website content management system
  • Canva or similar design software
  • Organisational social media accounts
  • Email newsletters or digital communication platforms
  • Survey or database systems

Experience with Adobe Creative Cloud, or Power BI would be useful but is not essential.

A qualification in communications, marketing, business administration or office administration would be useful, but practical experience, strong people skills and the right approach matter more to us.
