About the role
As Project Administrator, you will play an important role in organising, scheduling and documenting the day-to-day tasks that support families to achieve warmer, drier and healthier homes. You will be a key point of contact for whānau/aiga clients, partners, landlords, property managers, contractors and internal teams, ensuring information is accurate, timely and well managed.
Key responsibilities
- Provide prompt and
professional support by responding to phone calls, emails and general
correspondence.
- Coordinate diaries,
schedules, appointments, referrals and on referrals to community organisations.
- Maintain accurate records in Salesforce, ensuring referral details are tracked throughout the full lifecycle.
- Communicate with families to gather required documentation, including information needed for financial assessments.
- Prepare Healthy Homes Assessment reports and ensure information is complete, accurate and error-free.
- Send recommendation reports to homeowners, property managers and landlords with clear communication and advice.
- Support landlord liaison activities, advocating for changes that contribute to warmer, drier homes.
- Manage curtain approvals and coordinate information required for installations.
- Attend meetings, hui, conferences, workshops and industry training as required.
About you
We are seeking an administrator who enjoys being part of a collaborative team and helping others succeed. You’ll bring a positive attitude, strong attention to detail and a willingness to pitch in where needed, while confidently keeping busy programmes moving. This role will suit someone who communicates well, builds trusted relationships and thrives in a fast-paced environment where teamwork, accuracy and care make a real difference.
Ideally, you will bring:
- Previous experience in an administrative or coordination role.
- Strong written and verbal communication skills.
- Competency with Microsoft Office, especially Word, Excel and Outlook.
- Experience using Salesforce or a similar CRM system, or confidence learning new systems.
- Excellent attention to detail and the ability to prioritise tasks and meet deadlines.
- The ability to build and maintain trusted relationships with clients, partners and internal teams.
- Confidence working and communicating effectively with a range of cultures, particularly Māori and Pasifika communities.
- Calmness, patience and professionalism in busy or stressful situations.
- A genuine interest in social causes and alignment with Habitat’s mission and values.
- An HPA Level 1 certificate, or willingness to work towards relevant training.
