We’re now looking for a motivated and organised Project Administrator to support our Project Managers and wider team in keeping project documentation, communication, coordination and reporting accurate, timely and consistent.
About the Role
The Project Administrator plays a key role in supporting the successful delivery of our clients’ projects. Working alongside the Project Managers and wider team, you’ll help keep our projects running smoothly, well-documented and on track.

What You’ll Be Doing
- Support Project Managers across all stages of project delivery
- Prepare, format and proof-read project documentation, including plans, reports, contracts, registers and tender documentation
- Maintain document control systems and accurate, up-to-date project records
- Coordinate project meetings, including preparing agendas, taking minutes and tracking actions through to completion
- Coordinate communication with clients, consultants, contractors, suppliers and tenderers
- Track project progress, risks, issues and milestones, and assist with project reporting and updates
- Act as tender secretary and help coordinate tender evaluation panels, including associated documentation
- Assist with procurement processes, supplier and contractor coordination
- Support project financial administration, including budget tracking, invoices, contractor claims, progress and drawdown payments, and variations
- Assist with administration of the General Conditions of Contract (e.g. NZS 3910)
- Develop and maintain project programmes in MS Project / Procore
- Support Health & Safety practices within project environments
- Become proficient in the company’s project software, including Procore, Workbench and MS Project
- Provide short-term/leave cover for our Project Managers, with senior support as needed
What We’re Looking For
- 1–3+ years’ experience in project administration, project coordination, or general administration
- Exposure to construction, consulting, or project environments is advantageous
- Strong organisational and time management skills
- High attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft 365, including Word, Excel, PowerPoint and Outlook
- Diploma or degree in Business Administration, Project Management, or a related discipline is advantageous
- Project management certification (PRINCE2, Agile, PMP, etc.) is advantageous
- Proactive, solutions-focused approach
