WiSE Medical is a walk-in specialist emergency clinic based in Macquarie Park and Robina, Gold Coast. It was founded by a group of emergency specialists, who are passionate about creating an environment of quality emergency care, without the crowds and wait times associated with emergency departments. Our newest venture is the opening of WiSE Sutherland Shire in Caringbah – our third state-of-the-art specialist emergency clinic. Opening in early September, the clinic will provide walk-in specialist emergency care to the South Sydney community from 10:00am to 10:00pm, seven days a week.
The new location will offer the same high-quality walk-in specialist services available at our Macquarie Park and Gold Coast clinics, including care from FACEM doctors and experienced nurses, onsite diagnostic radiology services, an allied health specialist hub, a STAT pathology laboratory, and, of course, our dedicated medical reception team to support patients throughout their WiSE journey.

Position Overview:
WiSE Medical Sutherland Shire is looking for a new team of Specialist Hub Patient Liaison Officers (PLOs), our medical receptionists, who will be the first point of contact in our allied health Specialist Hub for our patients and visitors, providing excellent customer service while maintaining the smooth operation of the Specialist Hub. This role requires a proactive and confident individual who can manage various tasks with attention to detail and a compassionate approach.
The Caringbah location is scheduled to open 7th September 2026. Training will be conducted from early to mid-August in our Macquarie Park location to ensure that our new team are fully equipped and ready for our September grand opening. This role will start in August 2026, official date to be confirmed.
This role requires a valid paid Working with Children Check, as well as evidence of immunity to the specific diseases outlined under the NSW Health Category A mandatory requirements.
We are currently seeking a team member to work Mondays (approximately 7 hours), plus alternating Wednesdays and Fridays (approximately 5 hours each per fortnight). With new specialists joining our practice in the near future, we anticipate hours will increase. This is an excellent opportunity to grow with the team.
Key Responsibilities:
Front Desk Management:
- Greet and assist patients and visitors with a friendly and professional demeanour.
- Answer and direct phone calls efficiently, handling inquiries and scheduling appointments.
- Maintain a tidy and organised reception area.
Administrative Support:
- Manage and update patient databases with accuracy and confidentiality.
- Process payments and handle billing inquiries; create invoices as needed.
- Coordinate with medical staff to ensure smooth patient flow and scheduling.
- Manage office inventory and order supplies when necessary.
- Assist with document preparation, including forms and reports.
Customer Service:
- Handle patient complaints and concerns with empathy and professionalism.
- Provide clear communication and support to ensure a positive patient experience.
- Proactively identify areas where support is needed and take initiative to address them.
Management support of Specialist Rooms:
- Assist of the setup of each room on a daily basis, including specialist signage on doors, cleanliness and upkeep, stocktake reporting, general operation of hardware (Computers and Printers operating correctly) and appropriate in-room signage to signify the unavailability of rooms for general use.
- Support coordination of ordering needs to the WiSE One office or appropriate persons for purchase.
Onboarding of Specialists:
- Support the onboarding process for new specialists, encompassing tasks such as setting up specialists on C2C, obtaining provider and prescriber numbers, and ensuring the setup of pathology, radiology, and other diagnostic services for the doctors.
- Assist to the onboarding procedure document to ensure effective completion of these tasks.
Qualifications & Skills:
- Medical/ healthcare receptionist experience highly preferrable, reception experience acceptable
- Allied health specialist reception experience highly preferrable
- Basic understanding of medical terminology and Australian healthcare system is preferred.
- Proficiency in computerized scheduling systems and electronic medical records (EMR) is highly desirable
- Strong interpersonal skills with the ability to connect with diverse individuals.
- Dependable and punctual, with the ability to manage stress in a fast-paced environment.
- Exceptional organisational and multitasking skills.
- Proficient in touch typing (minimum 60 words per minute).
- Experienced in payment processing and invoice creation.
- Strong attention to detail and commitment to maintaining confidentiality.
