About the Role

We are seeking an experienced, proactive, and values-driven Practice Manager to join our team at Tweed Mall Medical Centre on a fixed-term contract while our current Practice Manager takes a leave of absence. Reporting directly to the Regional Manager, you will manage daily operations, maintain financial records, lead practice staff, and implement quality and clinical governance systems to ensure a smooth, efficient practice, a positive team culture, and an exceptional standard of patient care.

Key Responsibilities
Operational & Facilities Management

  • Business Continuity & Assets: Develop and maintain business continuity, disaster recovery, emergency response plans, and an up-to-date asset register for equipment and consumables.
  • Facilities & Accreditation: Oversee facility cleanliness, safety, and accessibility in liaison with the Senior Receptionist. Lead accreditation compliance, review practice systems, and drive continuous improvement.
  • Rostering & Workflow: Plan rosters and allocate shifts in line with practice needs, patient demand, legislation, and budgetary limits.
  • Stakeholder Engagement: Build and maintain strong relationships with GPs, allied health professionals, and key external stakeholders.
  • Financial Management: Oversee fee collection at time of appointment, accurate billing, financial reporting, and up-to-date financial records.

People Management & Culture

  • Leadership: Lead, mentor, and motivate direct reports including the Lead Nurse, Nursing staff, Senior Receptionist, Receptionists, and Training & Development Coordinator.
  • Performance & Development: Conduct monthly 1-on-1s and annual performance reviews. Foster a collaborative team culture that encourages quality improvement and professional growth.
  • HR & Recruitment: Coordinate recruitment and new employee inductions in liaison with HR, ensure compliance with employment legislation, delegate tasks, and handle conflict resolution.

Safety, Governance & Risk

  • Workplace Safety & Risk: Exercise duty of care, conduct regular risk assessments across HR, finance, facilities, and clinical services, and maintain safe building conditions.
  • Clinical Governance: Record and review incidents, near misses, and significant events in consultation with senior management to prevent recurrence.
  • Data Security & Privacy: Maintain strict patient and practice confidentiality, educate staff on data security protocols, and manage grievances through to resolution.


Selection Criteria

  • Experience: Proven experience in a Practice Manager or high-level medical practice administrative role.
  • Clinical & MBS Knowledge: Detailed understanding of the Medicare Benefits Schedule (MBS), medical terminology, allied health networks, and general practice accreditation standards.
  • Financial & Tech Skills: Solid background in financial management, accounting systems, and reporting processes, alongside proficiency in practice software and Windows environments.
  • Leadership & HR: Strong capability in team leadership, task delegation, staff development, and managing casual and permanent employment obligations.
  • Communication & Organization: Exceptional written and verbal communication skills, high attention to detail, strong prioritization abilities, and a vigilant approach to accuracy.
