About the Role
This role is responsible for managing the end-to-end learner enrolment process and supporting clients in successfully onboarding learners to SWC accredited training programs. You will be the
primary point of contact for clients and learners throughout the enrolment journey, ensuring a smooth, accurate, and positive experience from initial enquiry through to training commencement.
Working closely with the General Manager – Growth, the NSW Partnership Manager and internal teams, you will also undertake small-scale business development activity, supporting re-enrolment
conversations, warm lead follow-ups, and client relationship maintenance to help grow our existing hospital and healthcare partnerships.
Key Responsibilities
- Manage the end-to-end learner enrolment process, including collection and verification of documentation, data entry into relevant systems (Monday.com, HubSpot), and communication with learners and clients throughout.
- Support customers to onboard new learners, acting as the primary contact for enrolment queries, program guidance, and issue resolution during the onboarding phase.
- Maintain accurate and compliant enrolment records in accordance with IVET Group policies and RTO regulatory obligations.
- Coordinate with clients to schedule and run information sessions, enrolment days, and onboarding activities that prepare learners for training commencement.
- Collaborate with administration, finance, and training delivery teams to ensure a smooth transition from enrolment to training and resolve any issues promptly.
- Build and maintain positive relationships with existing client contacts, supporting day-to-day enrolment needs and identifying opportunities to deepen engagement.
- Undertake small-scale business development activity, including warm lead follow-ups, re-enrolment conversations, and preparation of proposals or information packs as directed
- Monitor enrolment data and provide regular reporting on enrolment volumes, onboarding completion rates, and any trends requiring attention
- Represent SWC in a professional and client-centred manner at client sites, information sessions, and onboarding events

About You
You will have:
- Experience in learner enrolment, client onboarding, administration, or customer service within the education, training, healthcare, traineeship or related sector.
- Strong interpersonal and relationship-building skills, with the ability to work effectively with clients, learners, and internal teams at all levels.
- High level of accuracy and attention to detail, with demonstrated ability to manage data entry and administrative processes in a fast-paced environment.
- Proficiency in CRM platforms or student management systems (e.g. HubSpot, Monday.com desirable, and strong general computer literacy, including Microsoft Office.
- Understanding of VET or RTO enrolment requirements and compliance obligations, or demonstrated ability to quickly learn and apply regulatory frameworks.
- Excellent written and verbal communication skills with the ability to clearly explain enrolment processes and program information to learners and client contacts.
- Familiarity with the healthcare training landscape, including traineeships and accredited qualifications (highly desirable).

- Current driver’s licence and ability to travel to client sites as required
- Current Working with Children Check (or willingness to obtain)
