The South West Aboriginal Medical Service (SWAMS) is an Aboriginal Community Controlled Health Service based in Bunbury which provides a variety of health services to Aboriginal people in the South West of Western Australia. Reporting to the Executive Manager Family & Wellbeing, the role supports the coordination of operational and strategic projects across a multidisciplinary Business Team, ensuring activities are progressed in line with agreed timeframes, organisational priorities, and compliance requirements.

The Project Administration Officer contributes to organisational risk management, accreditation activities and continuous improvement processes by assisting with contracts, documentation, data management and reporting.

The role supports the Executive Manager and program areas to deliver culturally safe, compliant and high-quality services, including alignment with Child Safeguarding, Mental Health and Better Care Better Services Standards.

This is a varied role that includes but is not limited too:

  • Provide high-level administrative and coordination support to Family & Wellbeing projects under the direction of the Executive Manager Family & Wellbeing.
  • Prepare business cases, funding applications, tender documentation, gantt charts and project plans.
  • Manages and facilitates the development of SWAMS operational planning frameworks.
  • Facilitates internal and external working groups as directed.
  • Identifies continuous improvement opportunities and contribute to agreed implementation activities.
  • Support the implementation of accreditation standards, contract requirements and governance frameworks across Family & Wellbeing programs and services.
  • Provide executive support to the Executive Manager – Family and Wellbeing.
  • Assist the Executive Manager with investigation of incidents and corrective actions.
  • Review tasks due and assist with updating outcomes, documentation and accreditation requirements
  • Review and update policies and procedures
  • Schedule appointments related to upcoming task
  • Assist in the preparation of reports, briefing papers, funding submissions and other project-related documentation.
  • Maintain accurate project records within systems such as LogiQC, Monday.com and SharePoint.

Essential Criteria

  • Certificate IV in Business Administration (or similar) or demonstrated business/ project administration experience or demonstrated 5 years experience in business or project administration.
  • Ability to organise specific projects meeting deadlines to high standards
  • High level of written communication, including briefs, report writing, letters and policies
  • Excellent interpersonal and communication skills
  • Ability to achieve high level customer service to internal and external clients
  • Demonstrated organisational and time management skills
  • Demonstrated ability to communicate effectively and sensitively with Aboriginal people

Desirable Criteria

  • Aboriginality would be advantageous in this role but is not an essential requirement of the role
  • Experience in Sharepoint
  • Demonstrated experience leading or coordinating accreditation processes and compliance frameworks, including Child Safeguarding (e.g. NPCSO2018), Mental Health accreditation, and Better Care Better Services Standards (Department of Communities).
