As an Office Coordinator, you’ll be the heartbeat of our office, making sure everything runs smoothly day to day. You will report to the Head of People and Culture and assist with a variety of tasks where no two days will be the same! From managing schedules, to assisting with event planning, to greeting our guests with a warm smile, your role is pivotal in creating a welcoming and productive environment for everyone who walks through the door. If you’re organised, proactive, and attention to detail is your thing, you might just be the Hawk we’re looking for.

Your day-to-day might include:

• Handling day-to-day administrative and reception tasks, including meeting and greeting clients, preparing correspondence, data entry, and managing calls and messages.
• Coordinating calendars, booking meeting rooms, organising catering and travel arrangements.
• Owning how the office looks, operates and feels, including ordering supplies and organising maintenance.
• Assisting with team event planning and client & staff gifting.
• Providing support to the leadership team with a variety of ad hoc tasks.

Must haves:

• Based in Melbourne, Australia.
• Experience in office administration, reception, logistics, operations or similar is ideal but not essential.
• A knack for juggling multiple tasks efficiently.
• Detail-oriented, taking pride in your work, from the big projects down to the small details.
• A genuine passion for enhancing the customer and people experience at every turn.
• The ability to work autonomously and think on your feet, especially under pressure.
• Proactive by nature, spotting what’s needed and recommending or putting solutions in place before they become problems.
• Infectious energy, enthusiasm, and a positive, can-do attitude.
• Strong communication skills, both written and verbal.

Salary & Compensation:

We believe in transparency – here’s what this role offers:

• Base salary: AUD $62,000 to $65,000 + superannuation (depending on experience & technical ability)
