The Opportunity

We’re seeking a full-time Despatch Coordinator to join our WA Warehouse team in Bibra Lake. Reporting to the Distribution Centre Manager – WA, you’ll be at the centre of our despatch operation — coordinating freight bookings, managing documentation, and making sure every delivery leaves on time and lands right. It’s a customer service role at heart, supporting both the people who walk through our door and the customers waiting on their order, so it suits someone who takes pride in getting the detail right and keeping things moving.

You’ll bring strong organisational and communication skills, with a sharp eye for detail and the confidence to juggle multiple priorities in a fast-moving warehouse environment. Experience in logistics, freight coordination, or customer service — ideally within a warehouse or distribution setting — will help you hit the ground running, though the right attitude and willingness to learn matter just as much to us as a perfect CV.

What we won’t compromise on is accuracy and follow-through. We’re after someone who takes ownership of the despatch process end-to-end — booking freight, chasing missing information, and making sure paperwork is right before it goes out the door — rather than someone who just processes what’s in front of them. You’ll work closely with our WA Warehouse and Sales teams, so clear communication and a collaborative approach are essential.

What You’ll Be Responsible For

Customer Service

• Greet and service customers and couriers promptly and professionally

• Respond to customer and courier enquiries across multiple channels

• Provide customers with general information on processes, systems and safety

• Escalate enquiries to the relevant area when required

Freight & Logistics Coordination

• Review picking slips and documentation, identifying and resolving missing information

• Book and arrange freight for metro deliveries via Stirlings’ partnered couriers or customer-nominated carriers

• Use the Stirlings App and TrackPOD to plan systematic delivery routes

• Complete and attach all delivery documentation ahead of daily cut-offs

• Help maintain Stirlings’ delivery promise (DIFOT)

Document Processing & Review

• Prepare, prioritise and organise picking slips and despatch documentation

• Liaise between Sales, Operations and freight providers

• Organise and send test certificates and other sales order documentation

• Review outstanding picking slips for overdue picking or collection

Quality, Systems & Warehouse Support

• Contribute to enhancing despatch procedures and systems

• Support training documentation and standard work practices

• Assist with picking and packing, and daily warehouse housekeeping, when required

• Provide relief support to other warehouse divisions as needed
