ABOUT THE ROLE
Reporting to the Auction Services Manager, the Reception & Site Support Officer is the face of our Pooraka site – owning front-of-house coverage, enquiry triage, and customer and vendor intake, along with collection support and everyday site administration. You’ll make sure visitors, buyers, vendors and internal teams are greeted professionally and pointed to the right person, process or answer, every time.
You’ll also handle a range of low-risk auction and financial admin tasks – document handling, payment status enquiries, outstanding payment reminders and routine SAMOS updates – always knowing when to escalate a matter that needs commercial, financial or compliance judgement rather than making the call yourself.
This is a full-time role, working Monday to Friday, based at our Pooraka, South Australia site.
Daily responsibilities include:
- Provide professional front-of-house coverage for visitors, vendors, buyers, contractors and internal stakeholders
- Answer and direct incoming calls, emails and in-person enquiries to the correct team or owner
- Assist with customer and vendor intake, required documentation and basic process guidance
- Issue paid-in-full invoices and support onsite collections once required checks are complete
- Complete routine office and site administration – mail, couriers, supplies, filing, scanning and records
- Support payment status enquiries, outstanding payment reminders, and routine SAMOS updates under direction
- Escalate safety, compliance, complaint or sale-critical matters promptly through the right pathway
ABOUT YOU
You’re a natural people-person who enjoys being the first point of contact – professional, organised, and calm even when the front desk gets busy. You will bring:
- At least 1 year’s experience in reception, customer service, administration, site support or a comparable front-of-house role
- Experience working in a busy, customer-facing environment with multiple internal stakeholders
- Strong communication, phone handling, visitor management and enquiry triage skills
- Sound administration and system capability, with a willingness to learn Auction Services and SAMOS workflows
- The ability to manage competing priorities while keeping a calm, professional and service-focused presence
- Good judgement on when to handle something yourself and when to escalate it
