Peer Support Program – connect and make a difference
Our Peer Support Program brings together people who are living with blindness or low vision to share experiences, build confidence, and feel supported by others who understand the journey.
Responsible to the Field Services Manager, the Administration Assistant is responsible for providing administrative and operational support for the Peer Support Program. The position provides ongoing support to the Project lead and the Peer Support Program to ensure smooth coordination of program activities participant communications, referrals, maintaining records and stakeholder enquiries. The program is grant funded by the Australian Department of Social Services (DSS) until 30 June 2027 and overseen by a Project Committee until November 2027.
Responsibilities:
- Administrative support – Provide administrative support for the Peer Support Program, including responding to internal and external enquiries and directing information appropriately. Monitor and respond to emails, tasks, phone calls, and other communications from staff, participants, families, carers, and external providers in a timely and professional manner.
- Maintain Client records and Waitlists– Support intake, referral, and waitlist processes, by ensuring participant information is accurately recorded, updated, and quality checked in line with organisational requirements. Maintain accurate records in Avantcare or other relevant systems, including participant files, consent forms, service documentation, contact notes, and related program information.
- Scheduling – Assist with scheduling, appointment coordination, group activity administration, and program communications as required. Create and manage program-related tasks, groups, and appointments in Avantcare, including appointments where applicable.
- Billing and documentation – Support funding, billing, and service administration processes, including obtaining approvals, preparing information, and following up outstanding documentation where required.
- Reporting – Prepare, update, and maintain program trackers, reports, and Key Performance Indicator information as requested.
- Communication – Provide timely correspondence, information, and resources to participants, informal supports, internal teams, and external providers. Coordinate follow-ups relating to referrals, service requests, participant contact, and other program administration matters.
- Planning – Assist with logistics for peer support activities, meetings, events, or groups, including room bookings, resources, attendance records, and participant communications.
- Confidentiality – handle all participant, staff, and organisational information in accordance with privacy and quality requirements.
- Contribute to Team Culture – Contribute to a collaborative, inclusive, work environment by actively participating in team initiatives and supporting colleagues. Demonstrate respect, trust and accountability to promote a positive, psychologically safe workplace culture.
- Additional Duties – Perform additional duties as assigned as directed by the Executive Manager, based on operational needs, including special projects or tasks not captured under regular duties.
About you:
- Excellent organisational skills and strong attention to detail.
- Strong written and verbal communication skills, with the ability to liaise professionally with internal teams, participants, families, carers, and external stakeholders.
- Experience in administration, customer service, community services, disability, aged care, health, or a related field is desirable.
- Ability to manage multiple tasks and prioritise effectively in a busy environment.
- Proficiency in Microsoft Office Suite and confidence using client management, or scheduling systems such as Avantcare.
- A proactive approach to problem-solving, service coordination, and customer service.
- Knowledge or experience with NDIS, CHSP, HCP, DVA, or other funding programs is desirable.
- Strong interpersonal skills and a passion for delivering excellent customer service.

- Demonstrates a high level of empathy and understanding when dealing with clients and their needs, with an empathy for persons who are blind or vision impaired.
