Job Purpose:
The Hotel Accounts Assistant plays a key supporting role within the Finance team, helping to ensure the accurate and timely processing of financial transactions. This role assists with daily finance tasks, including accounts payable and receivable, reconciliations, and general financial reporting support. The position contributes to maintaining robust financial systems and compliance with internal controls.
Position Overview:
Reporting to the Management Accountant, the Hotel Accounts Assistant is responsible for assisting in the smooth day-to-day financial operations of the hotel. The role involves accurate data entry, processing payments and invoices, assisting with reconciliations, and supporting the month-end close process. The position works closely with the wider hotel team and suppliers, ensuring that financial processes run efficiently and deadlines are met.
Key Responsibilities:
Accounts Payable & Receivable:
Process supplier invoices and employee expense claims in a timely and accurate manner.Prepare payment batches for review and ensure timely supplier payments.Generate and issue customer invoices as required and follow up on outstanding balances.Reconcile supplier statements and investigate discrepancies.Banking & Reconciliation & Compliance:
Assist with daily banking and cash handling reconciliations.Perform reconciliations of bank accounts, petty cash, and credit card transactions.Support end-of-month balance sheet reconciliations.Maintain organised records and assist with audit preparation when needed.General Finance Support:
Help maintain the fixed asset register and support inventory reconciliation.Work with operational teams to ensure timely and accurate flow of financial information.Assist with process improvement initiatives and ad hoc finance tasks as required.Required Skills and Experience:
1–2 years’ experience in an accounting or finance support role, ideally in hospitality or a service-based environmentProficiency with accounting systems (Xero, ApprovalMax or similar). Inventory systems knowledge will be desirable.Strong attention to detail and accuracy in data entryFamiliarity with basic NZ accounting and GST principlesCompetent in Microsoft Excel and financial reporting toolsOrganised and proactive, with the ability to meet deadlinesStrong interpersonal skills and ability to work collaboratively
