Description

Position Objectives

Always act as an ambassador for the Renmark Club. Support the Functions Manager in preparing, setting up and delivering functions and events to Club standards. Assist with larger functions, take responsibility for smaller functions when delegated, and provide practical support across function administration, guest service, basic food preparation and event pack-down. When function work is not available, assist within the Club’s café and food service operations. This is a hands-on hospitality role and the employee is expected to assist wherever reasonably required to ensure functions and café services are delivered safely, professionally and efficiently.

Key Responsibilities

Function Preparation

  • Assist the Functions Manager with preparations for weddings, meetings,
  • conferences, breakfasts, private celebrations and community events.
  • Review function sheets and running sheets before each assigned event.
  • Prepare function rooms, tables, chairs, decorations, equipment and service areas.
  • Ensure function spaces are clean, correctly presented and ready before guests arrive.
  • Assist with room changes, resets and pack-down after events.
  • Ensure crockery, cutlery, glassware, linen and function supplies are available and
  • properly presented.
  • Report missing equipment, stock shortages, maintenance concerns or setup issues to
  •  the Functions Manager.

 

Function Delivery

  • Assist the Functions Manager during larger or more complex events.
  • Run smaller functions independently when directed and provided with the
  • approved function information.
  • Welcome guests and provide professional, friendly service.
  • Coordinate with Kitchen, Café and service staff during assigned functions.
  • Follow approved timings, meal service, beverage service and room requirements.
  • Respond appropriately to reasonable guest requests.
  • Refer significant complaints, changes, additional charges or client disputes to the
  • Functions Manager or Duty Manager.
  • Remain present and attentive throughout assigned functions.
  • Complete event pack-down and ensure the function area is left clean and ready for its

 

Food & Beverage Service

  • Provide table service, food service and hospitality support during functions.
  • Carry and clear meals, beverages, glassware and service equipment safely.
  • Assist with the preparation and presentation of continental breakfasts, morning
  • and afternoon teas, tea and coffee stations, fruit platters and other basic food
  • items authorised by the Kitchen team.
  • Follow all food safety, hygiene and allergen procedures.
  • Assist Kitchen staff with basic preparation only when instructed and appropriately trained.
  • Clear function areas and load or operate the dishwasher when required.
  • Clean and return equipment, crockery and service items to their correct storage areas.
  • Assist with bar service connected to a function where required, appropriately trained
  • and holding the necessary certification.

 

Café Support

  • Work within the Café when functions are not operating or additional assistance is required.
  • Take customer orders and deliver meals and beverages.
  • Clear and reset tables and assist with Café opening, closing and cleaning tasks.
  • Support coffee, counter or floor service within the employees’ training and competency.
  • Assist with basic Café preparation and presentation.
  • Maintain a clean, safe and welcoming customer environment.
  • Understand that this position is not primarily a Bar or Gaming role.

 

Administration & Function Support

  • Assist with basic function paperwork under the direction of the Functions Manager.
  • Enter or update approved information in function documents and systems.
  • Prepare draft invoices, quotes, correspondence or event information for review
  • and approval.
  • Maintain accurate records of changes, additional requirements and client requests.
  • Assist with filing, printing, function packs, menus, signage and place cards.
  • Use Microsoft Word, Excel, Outlook and Club systems as required.
  • Assist with gathering information required for post-event review, costing or return
  • On investment reporting.
  • Maintain the privacy and confidentiality of client, employee and Club information.
  • Do not independently approve pricing, discounts, contracts, refunds, sponsorships
  • or significant event changes unless formally delegated.

 

Customer Service

  • Communicate professionally with clients, guests and colleagues.
  • Treat each event with care and attention, regardless of its size.
  • Follow approved client instructions and function documentation.
  • Avoid making promises or commitments outside the approved function arrangements.
  • Escalate uncertainty, complaints or requests for major changes to the Functions Manager
  • or Duty Manager.
  • Help create a positive and welcoming experience for members, guests and function clients.

 

Teamwork & Flexibility

  • Work cooperatively with the Functions Manager, Kitchen, Café, Bar, cleaning
  • and management teams.
  • Assist with any reasonable hospitality task required to complete an event successfully.
  • Be prepared to move between administration, room preparation, guest service, basic
  • food preparation, cleaning and Café support.
  • Take responsibility for completing allocated tasks rather than assuming they belong
  • to another department.
  • Maintain clear communication before, during and after functions.
  • Notify the Functions Manager promptly of any issue that may affect the event or
  • guest experience.

 

Appearance & Professional Standards

  • Maintain professional grooming and appearance as a representative of the Club.
  • Arrive on time, prepared and ready to work.
  • Follow instructions from the Functions Manager, Duty Manager, Assistant General
  • Manager and Head Chef as appropriate.
  • Demonstrate professionalism, enthusiasm, reliability and attention to detail.
  • Provide proactive follow-up on any shift impacts or incomplete tasks.

  • Comply with all Club policies, procedures and lawful directions.
  • Follow work health and safety requirements.
  • Follow food safety, hygiene and allergen procedures.
  • Comply with responsible service of alcohol requirements when performing licensed duties.
  • Report hazards, incidents, injuries, damaged equipment and unsafe practices.
  • Use equipment only when trained and authorised.
  • Maintain clean, safe and unobstructed work areas.
  • Follow emergency, evacuation and incident-reporting procedures.

Availability Requirements

  • Availability to work early mornings, evenings, late finishes, weekends, public holidays,
  • school holidays and peak hospitality periods.
  • Flexibility to work irregular hours based on confirmed function bookings and
  • business requirements.
  • Understand that casual hours will vary and no fixed or guaranteed pattern of hours applies.

 

Physical Requirements

  • Ability to stand and walk for extended periods.
  • Ability to carry trays, crockery, equipment and function supplies safely.
  • Ability to move tables, chairs and lightweight function equipment using correct
  • manual-handling procedures.
  • Ability to bend, reach and perform repetitive hospitality duties.
  • Ability to work in Kitchen, Café, indoor and outdoor function environments.
  • Willingness to assist with cleaning, pack-down and dishwasher duties.

 

Limits of Authority

  • Do not approve function prices, discounts, contracts, refunds or complimentary
  • products unless specifically authorised.
  • Do not alter confirmed menus, packages or client agreements without approval.
  • Do not commit the Club to additional expenditure.
  • Do not discipline employees or change staff rosters unless formally delegated.
  • Refer matters outside the approved function plan to the Functions Manager, Duty
  • Manager or senior management.

Additional Information

  • This position is casual and hours will vary according to functions, Café requirements and
  • the operational needs of the Club.
  • The employee may be directed to perform other reasonable duties consistent with
  • their skills, training and the needs of the Renmark Club.
  • No task reasonably connected with completing a function, event or Café service should
  • be considered beneath the position.
