Organisation Overview:
Rainbow Club is a network of social swimming clubs for children with a disability. Rainbow Club Australia is a charity that helps children with a disability learn to swim and provides young adults with aqua exercise classes. We have 70+ clubs across NSW, ACT, VIC and QLD and have plans to increase our footprint to meet the increasing demand for membership. We employ 400+ swimming teachers on a casual basis to provide personalised swimming lessons and aqua exercises to children and young adults with a disability.
About the Role
Our Member Services Team keeps Rainbow Club running for families and clubs alike – handling parent enquiries, direct debit and member account administration across our 70+ clubs. We’re adding a Member Services Coordinator to give the team dedicated, flexible capacity, stepping in wherever demand is highest.
This role reports to the Manager, Member and Support Services, and works closely with two experienced Member Services Coordinators. In peak periods for other team members in Rainbow Club, there will be opportunities to assist with other projects.
Rainbow Club Australia often has fluctuations in workload demands due to the seasonal nature of the business. This requires the Member Services Team to be flexible with working hours from time to time to meet business needs.
This is a part-time, remote role at 22.5 hours/week, with some flexibility in how those hours are scheduled.
Key Responsibilities
- Respond to parent and stakeholder enquiries regarding enrolments, bookings, class availability and schedules.
- Oversee the monthly direct debit process and follow up failed payments.
- Process member cancellations and maintain accurate administrative records.
- Identify, troubleshoot and escalate system issues relating to First Class and Worldpay.
- Support operational staff with member-related enquiries and admin.
What You Bring
Essential:
- Experience in customer service, administration or a similar support role.
- Strong attention to detail, particularly when handling member records and payments.
- Ability to manage competing priorities and stay organised during busy, fast-moving periods.
- Excellent written and verbal communication skills.
- Comfortable learning and working across multiple software systems.
- A flexible, team-first approach – willing to move between enquiries, payments and admin as needed.
Desirable:
- Experience in the NDIS or disability sector.
- Familiarity with direct debit or payment processing (e.g. Ezidebit, Worldpay).
- Experience with member management or CRM systems (e.g. First Class).
- Experience supporting plan-managed or NDIA-managed participants.
