Description
The Senior Coordinator, Accreditation and Training is responsible for coordinating key aspects of the Fellowship Training Program including Training, Education Activities and Training Post Accreditation. As one of the first points of contact for Candidates and stakeholders, the Senior Coordinator provides timely and accurate support and information to ensure a well-organised training experience. This includes addressing enquiries, resolving issues, and ensuring stakeholders receive appropriate assistance and information.
Working closely with RACMA Faculty, Committees, and staff, this role engages extensively with internal and external stakeholders to facilitate and deliver identified aspects of the Fellowship Training Program including support for Training Supervisors and Preceptors. There is a strong emphasis on compliance while delivering high-level customer service to ensure a professional and responsive experience
Key Responsibilities
- Provide high-level customer service while coordinating the day-to-day operations of the Fellowship Training Program include Training and Training Post Accreditation. Serve as one of the first points of contact for stakeholder queries related to Training and Training Post Accreditation.
- Coordinate the Training Post Accreditation process and cycle, ensuring adherence to accreditation standards, policies and procedures while maintaining efficiency, accuracy, and compliance across timelines, logistics, communications, documentation, analysis, and reporting.
- Coordinate the Candidate training journey, including onboarding/offboarding, invoicing, training interruptions, and education activities (both online and face-to-face). Ensure adherence to policies, processes, and standards while maintaining efficiency, accuracy, and compliance across timelines, logistics, communications, documentation, analysis, and reporting.
- Identify, monitor, and report risks related to Unit functions, ensuring compliance with internal policies, processes, and regulatory requirements in collaboration with the Unit Manager.
- Coordinate and provide administrative support to College committees including organising meetings, preparing agendas, minutes, actions and reports.
- ·Develop documentation including standard operating procedures, communications, reports, recommendations, processes, evaluations, information materials and resources to support the operations, delivery and quality improvement of the Fellowship Training Program.
- Present reports, data analysis and evaluation findings, insights, trends and recommendations to clearly explain complex ideas to relevant stakeholder groups.
- ·Engage, consult and collaborate with stakeholders including committees and staff for successful program outcomes.
- Foster collaboration, communication, and knowledge sharing within and across units, ensuring alignment of processes where functions intersect.
- Maintain accurate data and records, ensuring compliance with business requirements for accreditation, training, and Member record administration.
- Other duties as required.
Selection Criteria
- A bachelor’s degree in a relevant discipline.
- Understanding of the Australian and New Zealand Health System including training and education pathways for Doctors in Training (highly regarded).
- Experience in coordination of quality and compliance activities, and application of standards and accreditation governance, ideally in an education or healthcare environment.
- Excellent planning, organisational and time management skills with the ability to set priorities, manage tight or competing deadlines and adapt to meet changing demands.
- Strong analytical skills incorporating attention to detail and accuracy, and the ability to collect and analyse relevant information in order to develop solution options.
- Excellent writing skills with the ability to prepare documents that convey complex compliance and operational concepts in a clear and concise manner appropriate to the audience and purpose.
- Excellent interpersonal skills with the ability to act with diplomacy to develop and maintain productive and effective working relationships with stakeholders.
- Strong initiative, adaptable and open to change with the ability to work effectively independently as well as part of a team. Ability to seek clarity and escalate issues when necessary.
- Experience with providing administration support to committees including writing minutes, action items and reports.
- High level computer skills and knowledge of applications including Advanced Microsoft Excel skills.
