About the Role

We’re looking for an enthusiastic and highly organised Subscriptions Officer to join our Melbourne team.

This is a hands-on administrative role where you’ll help ensure our publications reach the right people, at the right time. You’ll maintain accurate mailing lists, coordinate with external suppliers and support the smooth distribution of our magazines and other communications.

Accuracy and attention to detail are essential. You’ll work with data and spreadsheets, manage multiple tasks and deadlines, and collaborate with internal teams and external suppliers to ensure our distribution processes run smoothly.

In this role, you will:

  • Maintain, update and manage mailing lists to ensure accurate distribution of publications and communications.
  • Work with Microsoft Excel to organise, review and maintain subscription and distribution data.
  • Liaise with external suppliers to coordinate the timely and accurate production and distribution of printed materials.
  • Coordinate ad hoc mailouts and other distribution requirements.
  • Check and maintain the accuracy of records, identifying and resolving discrepancies where required.
  • Work closely with internal teams to support publication schedules and distribution deadlines.
  • Provide general administrative support as required.
  • Take ownership of your work, ensuring tasks are completed accurately and on time.
  • Occasionally provide reception cover, welcoming visitors, answering incoming calls and directing enquiries to the appropriate team members.

About You

We’re looking for someone who is organised, reliable and meticulous in their work.

You don’t need previous experience in publishing or subscriptions. What matters most is your attention to detail, confidence working with data and willingness to learn.

You will ideally have:

  • Excellent attention to detail, with a strong focus on accuracy and consistency.
  • Proficiency in Microsoft Excel, including formulas, data manipulation and spreadsheet management.
  • Strong organisational and time management skills.
  • Confidence working with large amounts of information and maintaining accurate records.
  • Good written and verbal communication skills.
  • The ability to coordinate professionally with external suppliers and internal teams.
  • A proactive approach to identifying issues and following tasks through to completion.
  • The ability to manage multiple priorities while maintaining a high standard of work.
  • A willingness to learn, accept feedback and continue developing your skills.

Previous experience in data entry, administration, subscriptions or a similar role would be highly regarded, but is not essential.

This is a full-time, office-based position in Melbourne. You will be required to attend our Docklands office five days per week.
